Responsibilities
- Review and validate the underlying plan, budget, and budget assumptions for the Facilities cost center.
- Analyze current and prior year facilities actual expenditures to identify spending trends, anomalies, and variances.
- Review current facilities expenditure coding practices (GL codes).
- Partner with Finance, Accounting, and the Facilities manager to develop and implement new program codes to append to existing General Ledger (GL) codes for more granular tracking.
- Ensure and document that all facilities expenses will be coded appropriately going forward
- Develop, document, and clearly communicate a new, standardized order and approval workflow process for departments requesting work orders, furniture, fixtures, and supplies from Facilities.
- Learn the functionality of the Facilities application, SchoolDude, and embed the new order and approval workflow within the system to maximize its use and efficiency.
- Conduct a deep-dive analysis of facilities spend, developing relevant performance metrics and Key Performance Indicators (KPIs).
- Formulate and present data-driven recommendations to the COO on how to achieve greater efficiency, cost-effectiveness, and financial control over facilities expenditures, coordinating closely with the Finance department before final rollout.
- Conduct necessary interviews and meetings with stakeholders to gather information and build consensus.
