The organizations(company 1) global business travel management program will be integrated into our company 2 (newly acquire by company 2 last year) program in Q3 2022; including transition to their travel management company (BCD Travel), moving to Concur Travel online booking platform, and supplier sourcing and management. Position Summary
This is an exciting opportunity for a self-starter to support our company as an experienced and successful project manager, with specific focus and skills on change management across different countries and cultures. In this capacity, half of your time will be to project manage the integration of company 1's global travel program across 27 countries into the company 2's program, including the setup of operational online and offline travel management services, along with company 1-specific travel sourcing and supplier management. For other half, you will lead the category management and strategic sourcing.
Responsibilities
Capability Development & Execution for the Travel Management Program (50% of time)
- Establish a structured global Stakeholder Relationship Management plan for all countries under company 1's current contracted travel management program, partnering with key stakeholders across the company, to understand their needs and build into a cohesive and collaborative project plan.
- Collaborate with the company 2 project management team, to ensure realistic and achievable project objectives, timelines and deliverables
- Build strategic communication plan for all impacted stakeholders in all impacted countries, ensuring effective communication is managed throughout the project from planning phase through to hypercare and sign-off
- Ensure all technical and functional systems and processes included in the travel management scope are evaluated for integration, and successfully transferred
- Carry out all necessary monitoring and control activities in order to track the progress of the project
- Identify and manage risks to ensure all deadlines and deliverables are achieved on time
- Implement any necessary changes throughout the process
- Report regularly to company 1 management, stakeholder groups and company 2 project team management
- Close the project - including evaluating successes and challenges
- Ensure continuity of supply and quality services to all company 1 traverlers globally, from the existing contracted travel suppliers in the company 1 travel program through until project completion
- Ensure a data-driven approach to category management and sourcing, leveraging "decision-quality data" and high-quality analytics to deliver insights, capabilities and results.
- Develop and execute clear category management, strategic sourcing, and procurement strategies that support business requirements while appropriately managing quality, speed, cost, risk and ease-of-use.
- Be knowledgeable in market trends, benchmarks, and best practices across categories under management. Use this knowledge to optimize results and drive a high standard of excellence.
- Lead sourcing events and contract negotiations for travel, meetings and events management.
- Develop strong, trusted, analytically driven service delivery relationships, segmenting suppliers and implementing a structured Supplier Relationship Management program, as appropriate.
- Draw on best practices to aid in development and implementation of standard processes, tools, and templates in support of a rapidly growing company.
- Leverage a continuous improvement mindset to mature and optimize service delivery with a focus on partnership and customer service, data-driven decision-making, quality and speed, process- and cost-efficiency.
- Oversee projects on an ad hoc basis as necessary to further company 1's Sourcing & Procurement needs.
- Identify, develop, and manage strategic business relationships with key stakeholders.
- Working with key business partners, establish a regular operational cadence with appropriate governance oversight to ensure continuity of supply and quality services.
- Leverage both external and internal subject matter expertise and innovation to inform and optimize the project's success with minimal impact to company 1 travelers
