Working closely with Account Services, Editorial and Medical Services, and Creative Services departments, the Project Manager plans, executes, and finalizes projects according to strict deadlines and within budget. The Project Manager leads the effort to define project timelines, resources, and budget and oversees quality control throughout the project's lifecycle; acquires resources and coordinates efforts of team members and third-party contractors or consultants in order to deliver projects according to plan; has comprehensive knowledge of the status and timelines for all tactics associated with a project or campaign and communicates that knowledge to team members; and takes a proactive approach to problem-solving to implement tactics according to predetermined timelines and budgets.

responsibilities:
Project Planning

  • Maintain an understanding of client business, objectives, and tactics
  • Assist Account Services in determining and refining project specifications, and developing proposal cost and timeline estimates based on these specifications
  • Coordinate proposal/new business presentation trafficking and deliverables
  • Develop project plans and timelines, including work breakdown structures (tasks)
  • Lead the effort to obtain appropriate resourcing to complete projects according to plan and within budget
  • Formally initiate projects with internal and external team members
Project Management and Tracking

  • Assume overall responsibility to track and maintain status of all projects concerning specifications, timelines, budgets, and deliverables
  • Ensure that all specifications of projects sold are being met and delivered to or beyond client expectations
  • Initiate and assign billable project work to writers, editors, and creative resources
  • Assist Account Services in addressing and responding to client requests
  • Call and run project team meetings to update project status on a weekly or as-needed basis
  • Update the internal team and client on a regular basis regarding status of all projects
  • Maintain ongoing project-related communication with core team members
  • Assume responsibility for on-time delivery of tasks to and from vendors
  • Maintain and adhere to process and procedures
  • Set and reinforce expectations of internal team members
  • Forecast cost-to-complete estimates for active projects
  • Track active and completed budget totals compared with purchase order contract values
  • Monitor project status and request changes in scope, budget, or timeline from Account Services as appropriate
  • Identify and analyze budget and timeline risks
  • Perform budget reconciliations at the completion of all projects
Quality and Risk Control

  • Ensure that all quality control measures (eg, editorial review, graphics review) are completed
  • Initiate and maintain electronic files for all projects
  • Review project detail reports weekly or as needed to identify incorrectly recorded project hours, potential performance issues, and potentially out-of-specification project hours; address as appropriate
  • Analyze potential out-of-specification hours and make corrective recommendations to the team
 
qualifications:
  • Bachelor's degree (science or English degrees preferred)
  • 2 years' related experience in project management at a medical communications-related agency (preferred)
  • Project management training
  • Experience with electronic project management software
  • Professional behavior and confidence
  • High level of integrity, confidentially, and accountability
  • Well-developed professional communication skills, including written and interpersonal
  • Well-defined sense of diplomacy, including solid negotiation, conflict resolution, and management skills
  • Highly developed organizational skills and attention to detail and timelines
  • Ability to coordinate and execute multiple tasks in a fast-paced environment to serve many therapeutic teams and meet project goals
  • Ability to identify key issues; creatively and strategically overcome challenges or obstacles
  • Sound analytical thinking, planning, prioritization, and execution skills
  • Proficiency in Microsoft (MS) Word, Excel, PowerPoint applications
  • Ability to master various content management systems
  • Desire to meet professional goals and acquire new skills
