Administrator

Contract position: Engineering client has an IMMEDIATE NEED for a Department Assistant/Project Assistant for a temp to perm assignment in Brea, CA. You need 5-10+ years of experience as a Project Assistant, Project Coordinator, Project Administrator, Executive Assistant or Administrative Assistant. Experience doing this for any type of engineering or construction company would be considered a plus.
Responsibilities for the Administrator
  • You will provide administrative support to a department of 20+ engineering, construction & project management employees
  • Provide general administrative support for company projects.
  • Organize and maintain project files, filing system and project communications
  • Provide data entry for projects
  • Record minutes from Project Manager/team meetings
  • Provide some construction document and project controls (RFIs, submittals, etc)
  • Collect and distribute client bills and invoices
  • Maintain the department seating chart, type memos, correspondence, reports, and other documents
  • Coordinate travel arrangements and any other internal services for various project needs
  • Assist with the processing of expense reports
  • Reserve conference rooms and coordinate client, vendor and/or supplier presentations, meetings and interviews, including set-up and cleanup
  • Setup and monitor training and assist with applications/licensing
Requirements for the Administrator
  • 3-10+ years of experience as a Project Assistant, Project Coordinator, Project Administrator, Executive Assistant or Administrative Assistant
  • Must be very organized and very patient as you are supporting a diverse group of people in this department
  • Must have good organizational skills and be able to effectively manage multiple tasks simultaneously
  • Proficient in MS Word, Excel, Outlook, and Power Point
