Administrative assistant

Architectural Review Board (ARB) 7/29/2020 ·Currently use admin support for the following: o    ARB meetings §  Capturing actions/decisions (uses recorder and shares notes with Angie; Angie finalizes notes and posts to  ION) §  Scheduling follow-up meetings as needed §  Helping Angie reschedule ARB meetings as needed §  Providing budget guidance/info/perspective as needed o    IT Division Meetings §  Helping schedule and get presentations together o    Quarterly IT Strategy Meetings §  Helping schedule and get presentations together §  Scheduling follow-up  meetings as needed o    Annual NITSL Annual Meeting §  Helping coordinate presentations, getting them approved by Communications IT Director 7/31/2020 Would like more assistance with managing his calendar and someone being aware of which meetings are required vs. just placeholders, etc. Also could use more help with getting things together for upcoming meetings. Finance 8/3/2020 Currently uses admin support for maintaining ION pages, occasional document proofing. With the move to electronic, filing is no longer a need. Amanda's role at IT admin does a lot of work with processing vendor bills and doing receiving. Business Relationship Management (BRM) 8/5/2020 ·Currently use admin support for the following: ·Coordinating departing co-ops (certificates, MAC forms, etc.) ·Ordering supplies ·Meeting support (ordering lunches) ·Helping get MSAs signed ·Tracking training budget ·Could use help with the following: o    Scheduling department-related meeting (end of seminar reviews) o    Helping gather info for IT Director/division meetings  o    Helping put together presentations (PPT skills)  


Infrastructure Services


·Currently use admin support for the following:

o    ISS scheduling for training/trips

§  Professional development request forms

§  Tracking training budget

o    Support with vendors

§  Making/taking calls related to billing/invoicing

§  Keeping track of annual PO amounts

·Could use help with the following:

o    Scheduling department-related meeting

o    Helping gather info for IT Director/division meetings 

·Want to start managing their own budgets within the department rather than having Doug manage all of it
