Facility Project Coordinator

The Facility Project Coordinator will work closely with the Facility Project Manager to support all small and capital projects, renovations and new construction throughout all stages (initiation, planning, execution, monitoring and control, and closure) of the project.

The coordinator will be the first point of contact for internal and external customers, all involved vendors and contractors.

The Facilities Coordinator will provide administrative support to the Facility Project Manager, manage office functions including: project Work Order coordination, security badge and access assignments, database and spreadsheet management, daily office operations, ensure project budget worksheets are up to date, maintain project records electronically and binders, e-file document management, and providing general support services. ust be highly organized and possess systematic working habits. Able to keep multiple large and small tasks or projects organized simultaneously and be flexible.

Requires excellent judgement and an inquisitive nature. Additionally, the Facility Project Coordinator, under the supervision of the Facility Project Manager, will manage relations and communications with internal business units, contractors and 3rd party vendors including maintaining conversation records, contracts, coordinating project activities, and providing scheduling support. This job does not have any supervisory responsibilities, but does work on a day to day basis as a liaison between the business unit (customer) and 3rd party vendors.

The job incumbent is responsible for complying with all policies, procedures, and processes involving the Bank Secrecy Act (BSA) which relate to their specific position, duties, and responsibilities. Specific BSA components will include the Customer Identification Program (CIP), Customer Due Diligence (CDD), Currency Transaction Reports (CTR), Suspicious Activity Reports (SAR), Office of Foreign Asset Control (OFAC), and a working knowledge of job specific “Red Flags” to identify potential suspicious activity.

*Microsoft Suite of products including Excel, Outlook, Word, Project and PowerPoint

*Building management, Facility and Maintenance operations knowledge

*A thorough understanding of the technical and financial issue involved in the project

*An understanding of OSHA safety precautions and laws related to the project

*Knowledge of Electronic File Management or Electric Document Management

*Excellent communication skills (both oral and written), leadership skills and negotiation skills

*Excellent customer service skills
