Purpose:  To partner with Financial Advisors in the onboarding and ongoing management of the Personal Advisor client relationships.

Duties and Responsibilities

  • Executes and monitors requests on managed accounts under the guidance of Financial Advisors.  Utilizes both WAVE (Web Access to Vanguard Excellence) and PlanIT Systems to execute transactions and verify accuracy.

  • Maintains a high level of quality in all transactions and operational processes.  Is diligent in documenting the actions taken on clients’ managed accounts for audit and record retention purposes.

  • Works closely with Financial Advisor to execute a variety of planning deliverables throughout the client life cycle, such as onboarding, quarterly rebalancing, and ad hoc transaction requests.

  • Partners with Financial Advisors, Resolution Services, and other business groups as necessary to resolve client issues efficiently and in a professional manner.

  • Manages the Personal Advisor IMH (Internet Message Handler) and AWD (Automated Work Distributor) queues to review incoming client correspondence and enrollment agreements.  Processes paper enrollment agreements and provides enrollment notifications to BDG and Financial Advisors.  Redirects client correspondence to Financial Advisors as necessary.

  • Assists in managing the quarterly fee collection process for clients enrolled in the Personal Advisor service.

  • Supports the Vanguard Unmatchable Excellence (VUE) process and provides insight into process improvement.  Proactively communicates with the team leader and team members to provide feedback on the quality and efficiency of operational processes, and the client experience.  Takes ownership in shaping future processes.

  • Participates in special projects and performs other duties as assigned.

Qualifications:

  • Undergraduate degree or equivalent combination of training and experience.

  • Minimum of two years of progressive, related experience, preferably with High Net Worth clients.

  • Adaptability and flexibility to work in a very dynamic team environment.

  • Strong interest in financial planning, investment advice, and wealth management.

  • Strong attention to detail.

  • Strong organizational and time management skills.

  • Ability to work with minimal supervision.

  • Ability to maintain a solid understanding of investment planning methodology and implementation strategies.

  • Demonstrated problem solving, independent thinking, and analytical skills.

  • Proven ability to interact effectively with various levels of management.

  • Strong knowledge of Vanguard funds and services.

  • Working knowledge of various desktop applications such as WAVE, PlanIT2000, and AWD.

Schedule:  M-F 8:30 a.m. – 5:00 p.m.

Pay:  $18.00/hr
