Sales Assistant

Randstad in partnership with Rollins is looking for a sharp and analytical minded team player to join a group within the sales support division as a Vendor Management Analyst! Highlights of job duties include:

- Administratively work with third party vendors employed by NA customers

to coordinate pest control service

- Act as a communication liaison with field service personnel

- Understand and operate multiple interdependent proprietary application

systems including but not limited to the third party vendor websites

- Follow a tailored playbook of customer requirements to administer work

orders, service requests and service level responsiveness

- Support outside subcontractors, other Rollins brands and franchises

regarding NA customers

- Audit, accept or reject contractual agreements and account changes

submitted by field personnel, NA sales organization, Orkin franchises,

Rollins brands and subcontractor

- Customer service requests are received via a 1.800 phone #, email and/or

vendor websites 24/7 during Client Services Coordinators' shifts

Primary duties of a Client Services coordinator:

- Receives, administratively processes and communicates to service personnel all

incoming customer requests for an assigned portfolio of accounts

- Client Coordinators perform management activities according to the tailored service

and administrative requirements issued by the customer for their market segment

- Customized service level response times mandates 24/7 shift coverage in order to

provide consistent account expertise

- Account proficiency among each market segment must be executed during all 24/7

shifts - this requires close partnerships among Client Coordinators

??? Client Coordinators must communicate at the end of their shift to their corresponding

partners account activity completed, priorities left pending and any actions required to

keep accounts up to date in all systems

??? Client Coordinators must be able to work with multiple systems ??? FOCUS/SS, EDGE,

Outlook, NA Console, third party vendor websites, etc to complete data entry, reporting

requirements, work order processes, invoicing and month end close

??? Playbook documentation must be managed to keep abreast and communicate changes

to all personnel involved with supporting the customer???s requirements

??? Work order processes

??? Website upgrades

??? Pricing/price increases/price decrease/renewals

??? Service frequency/type

??? Tax exempt

??? Government PO issuing processes

??? Billing type

??? Scope of service additions/changes

??? Quarterly business review requirements

??? Rebates/CVA agreements

??? Compliance reports/escalation processes

??? Data administrative requirements

??? Service level agreements ??? required response times

Client Coordinators must be able to translate playbook changes to applicable

personnel in an expeditious manner.

??? Client Coordinators will make quality assurance calls to customers ensuring all requests

are met according to the requirements ??? these may or may not be conducted during the

actual shift coverage ??? communications may be drafted and submitted outside of shift

work in order to obtain management goals set forth by the Director of Client Services

??? Provide statistical reporting to internal and external customers ??? supply analysis of

service level agreements and produce business at risk lists of concerns

??? From report analysis, make recommendations to field personnel and customers for

process improvements, enhancements, increased service frequencies, cash flow

concerns, etc

Working hours: 8:00 AM - 5:00 PM

- Ensure satisfaction with timely follow up - make good use of time management and

organizational skills

- Display honesty and always keep promises - be the face of National Accounts

- Strong work ethic and self-starter - Must be able to effectively manage multiple

priorities and adapt to change within a fast-paced business environment, leave no

account unattended or hand off incomplete information to account partners

- Handle surprises well - use good judgment - proactively escalate issues when


- Understand system administration - knowledgeable with excel, SharePoint 2010, MS

Office, and website navigation. Must be a quick learner of systems which are proprietary

to Orkin, external customers, vendors and Rollins brands

- Generate and analyze reports - Must be able to understand and communicate report

discoveries using multiple system applications

Qualifications ??? Must be able to

??? Listen intently, ask questions to summarize and repeat answers to ensure total

understanding of customer administration requirements ??? excellent interpersonal

communication skills ??? written and oral

??? Provide fast and accurate resolution ??? become a subject matter expert with customer???s

administrative requirements, reporting requests, scheduling services, website

changes, etc.

??? Work under pressure ??? Maintain rapport with internal and external customers

??? Work in day/night shifts Monday-Sunday which could be a combination of: 7am -

4pm, 8am-5am, 9am-6pm, 12pm-9pm, 9pm-6am ??? Shift debriefs and quality assurance

goals must be met either within or outside of shift activities

??? Ability to type 30 WPM +

??? Some travel may be required to field and/or customer sites

??? Bachelor???s degree preferred ??? will accept steady and solid previous client management


??? Other duties as assigned when needed by management.
