Human Resources Assistant
The HR Assistant will be responsible for supporting the Corporate Functions HRBP team by providing day to day administrative and Human Resources project support. The position is responsible for the administrative processes as it relates to all aspects of the employee life cycle (recruiting, job changes, separations and the HR annual processes). This individual will also support basic employee inquiries in partnership with Employee Services.
??? Serve as a first point of contact for the Research Park HR Office for employee inquiries.
??? Maintain office supplies and manage staple orders of equipment as needed.
??? Order movie tickets for employees to purchase, collect funds bi-weekly to drop off with Procurement team
??? Disbursement of live checks for employees
??? Manage parking lot assignments for executives and temporary assignments
??? Order flowers/fruit baskets for R&D Melville employees for deaths, births and surgery
??? Maintains the bulletin boards for Research Park with job postings; DOL postings; and Benefit information. Works with Safety team with updating TV screens with promotion and new hire announcements.
??? Perform audits on employee information to ensure records are updated correctly and to ensure data integrity in HR Connect.
??? Other duties as assigned by the HR team.
??? Collect and organize requests for the mid-year and year-end Promotion/Adjustment process. Schedule review meetings with Business Leaders and Compensation per the year-end timeline.
??? Support the PDP process during the initiate, midyear check-in and end of year performance phases. Includes tracking of all reviews and sending communication/follow-ups to employees and managers.
??? Support Talent Planning/Talent Council meetings by collecting Talent Planning documents from managers and preparing materials to be presented. Keep track of expanded responsibilities, promotions and stretch assignments for employees
Working hours: 8:30 AM - 5:00 PM
--Responsible for updating Open Positions/Offers report on Global Talent Share Point in collaboration with the Talent Acquisition team.
--In partnership with Finance, update the HR/Finance headcount file to note recruitment activity; departures and new hires
--Responsible for completing requisition forms for all job postings and collecting job descriptions for review and submission to Talent Acquisition. Ongoing upkeep of all graded job descriptions
--Review weekly validation report of job titles, submit requests for new job titles to be created.
--At least 2 year's administrative experience in a human resources environment
--Prior experience working in a fast paced corporate environment
--Ability to work in a professional and confidential environment
--Strong organizational, analytical and problem solving skills are essential. Attention to detail is a must.
--Ability to juggle multiple projects and shift priorities as business need changes. A true team player
--Working knowledge of Word, Excel, PowerPoint & Outlook Calendar. Oracle and Share Point a plus
--Strong written and verbal communication skills
--Strong interpersonal skills in interacting with all levels within an organization;
--Ability to work proactively and independently.
