Administrative Assistant

Our prestigious client in Dover, NH is currently looking for a 3 month temporary admin to cover the summer months in for academic support along various functional lines. The ideal candidate will be hard working, self-directed, and able to multitask well. Intermediate Microsoft Office, including Outlook, experience is a must. While this particular assignment is 3 months, our client regularly can utilize an admin in other areas while searching for permanent placement within the organization.

3 Month Temporary - May extend

Responsibilities:
-Responsible for scheduling adjunct faculty coverage for course sections and Business in Practice (BiP) program; manage the hiring process for adjunct faculty; including, but not limited to, hiring requests, contract letters, approvals and follow ups; communicate critical information and deadlines to new hires throughout the hiring and onboarding processes.
-Provide high-level program support for BiP; manage administrative workflow for BiP and academic grade reporting entry for credit/fail courses; provide support for various program activities, planning and monitoring.
-Work closely with faculty/staff to respond to requests and manage emails for information related to course/program support, academic accommodations, testing/exams, scheduling meetings, escalating requests/issues to appropriate resources and submitting required paperwork to adhere to predetermined deadlines; adhere to legal requirements and regulations; such as, HIPAA and FERPA.
-Responsible for the accuracy of the College???s complex course scheduling processes, maintaining academic schedule details and for effectively communicating with Department Chairs and Administrative Assistants concerning academic course and exam scheduling; communicate approved and ongoing schedule changes in a timely manner and adhere to submission deadlines established by the College and University???s Registrar???s Office; work collaboratively with Registrar???s Office, Events Team and other departments to coordinate room requests and scheduling; handle conflicts in adherence to policies and procedures.
-Organize and manage Dean???s-level academic program files and folders utilizing Box (cloud content management and file sharing services); oversee records of syllabi and course proposals and provide records and reports to committees upon request.
-Update courses website with approved course descriptions and details.
-Gather information from faculty and departments to prepare common exam and final exam reports and requests.

Working hours: 8:00 AM - 5:00 PM
