Accounting Clerk

Compiles and maintains accounts payable and receivable records for multiple entities; ensures that all invoices are paid on time in order to receive discounts and maintains good standing relationship with all vendors.

Responsibilities:
- Responsible for recording of amounts due, verification of invoices and maximizing use of vendor discounts
o Receive invoices and expenses
o Match Invoices with Receivers and POs
o Verify for approvals
- Ensures expense coding, voucher preparation and vendor payments are accomplished accurately and on time; Checks, ACH, Credit Card
- Reconciles vendor accounts and answers general vendor inquiries
- Furnish credit applications, tax exempt certificates and other requested documents or reports
- Create and maintain vendors accounts in Macola; with proper documentation such as W-9
- Researches issues related to receiving discrepancies, purchases price variances and any other issues related to vendor account analysis
- Assures vendor aging, goods received not invoiced, and purchase order returns are resolved in a timely manner
- Proper filing of physical and electronic storage of records
- Understands and complies with internal control procedures
- Assists with month-end close by assuring all vouchers are posted or accrued as required
- Department team member covering reception backup as needed
- Cross training amongst department for team support
- May also input journal entries or assist in other ways as determined by management

Working hours: 8:30 AM - 5:00 PM

Skills:
- Strong verbal and written communication skills
- Must be able to interface with co-workers, internal departments, service providers and customers in a fast-paced environment that requires multi-tasking
- Accurate typing and good grammar skills
- Able to deal patiently with problems and complaints and to remain courteous and professional is essential
- Be able to take a firm position while still professionally representing the company's position
- Must be proficient with Microsoft Office products, specifically Word and Excel

- While performing the duties of this job, the employee is regularly required to talk or hear
- Frequently required to sit and work with computer equipment
- Occasionally required to stand, walk and use hands to finger, handle or feel objects
- Must frequently lift and move up to 10 pounds and occasionally lift and/or move up to 25 pounds
