Administrative Assistant Intermediate level
Randstad is looking for an experienced, energetic and creative part-time Administrative Assistant to support the Global Marketing/Marketing Planning and Execution (MPE) teams for our client Bose Corporation. Marketing Planning and Execution Support:
Full support to MOA Director, Todd Kinsman: full management of calendar, departmental MOA meetings, room bookings, travel and expense coordination.
Assist in coordinating large scale meetings and clearing schedules for large rooms
Travel support as needed to MPE Sr. Management and coordinate travel for new hires/EU colleagues visiting the US
Open all departmental CIS remedy and work tickets and coordinate/follow up as needed
Coordinate all MPE catering orders in the Americas both internal/external
Meet vendors/contractors and coordinate access/badges for guests
Onboard all US based new hires ordering computer equipment and coordinating with facilities
Manage all permissions to and update MAC SharePoint site and external SharePoint document libraries
Update and manage all MPE email distribution lists.
Open requisitions for MPE contracts and general office needs and assist MPE US employees with requisitions as needed.
Coordinate employee departures
Assist in room bookings and catering for visiting European colleagues
Communicate all organizational announcements to the department including Corporate updates, new/departing employee announcements, Director messages, reminders for key due dates.
Provide overall office management support to the department including managing department wide resources such as offices, printers, and projectors and ensure that departments work space is functioning well and staff has all the resources it needs.
Working hours: 9:00 AM - 1:00 PM
Demonstrate ability to take initiative, problem solve and work independently
Attention to detail and follow through
Flexible and able to multi-task
Proactive and self-motivated
Excellent organizational and interpersonal skills
Strong MS Office skills (Excel, Outlook, PowerPoint, Skype)
3+ years relevant experience, supporting Director level leadership
