IT Administrative Assistant

A well known financial firm headquartered in Malvern, PA has an immediate opening working as an Administrative Assistant in their IT department. Our client offers a very friendly and team oriented environment that strives to educate and provide growth development opportunities. Seeking a highly professional and skilled individual who is accustom to working in a fast paced environment and who demonstrates flexibility and can adapt to change quickly.

This position will be responsible for directly supporting the Department Head with calendar management (50% of the time), answers phones and responds to internal/external calls. Takes/relays messages. Evaluates requests, identifies issues and determines appropriate source for resolution. Schedules meetings for department personnel. Organizes meetings, reserves conference rooms, and orders refreshments as needed. Makes travel arrangements. The other 50% of the time will be spent preparing memos, correspondence, reports, meeting minutes, PowerPoint presentations, and other materials for the business unit. Candidate should be extremely proficient with all MS Office applications (Word, Excel, PowerPoint, Access, and SharePoint). It's important to understand ALL applications in MS Office will be used often. Additional responsibilities include ordering of office supplies, catering, greeting clients and visitors.

Working hours: 8:00 AM - 5:00 PM

Excellent attention to detail, critical thinking skills, and problem resolution skills
Demonstrated organizational and time management skills
Aptitude to quickly learn systems and tools
Effective verbal and written communication skills
Demonstrated ability to develop client relationships
Ability to work both independently and deal with ambiguity, in addition to being a team player

Undergraduate degree preferred or an equivalent combination of training and experience
Minimum of two years work related administrative experience
Candidates must be willing to submit to an employer drug test and criminal background check
Must have ability to work onsite five days a week (37.5 hours per week) in Wayne, PA
