Office Assistant

We are currently hiring an Office Assistant for a family owned company in the Westchester County area. The Office Assistant will be responsible for answering and returning phone calls for new and existing customers, tracking new leads, scheduling appointments, as well as administrative tasks in support of the office including inventory of office supplies, preparations of invoices, and managing/maintaining vendor relationships. The ideal candidate will have experience working in small office environment, wearing multiple hats and the drive to complete tasks.

In this role, you will:
-Return and answer calls for new and existing customers
-Enter and keep track of new leads that come in via e-mail/ google / voicemail
-Schedule technicians for appointments to new and existing customers
-Distribute new service calls to techs as they come in throughout the day
-Possess great follow up skills, keeping in contact with technicians during the day to assure all work is being completed
-Prepare all invoices ensuring details are correct- follow up if needed, organize and approve vendor invoices as needed
-Order office supplies i.e. door hangers, note pads, envelopes, letterhead, etc
-Keep office area clean (neatened and picked up at all times)
-Fill out credit card information sheet for customers calling with credit card payment

Working hours: 7:00 AM - 4:00 PM

-Computer savvy; monitor customer reviews online
-Create and print service tickets in SAP as they come in
-Excellent verbal and written communication skills - updating technicians schedule on both whiteboards (daily and weekly)


Entry Level

-Bachelor??s Degree
-Proficient with Microsoft Word
-Excellent written and verbal communication skills
-Ability to prioritize, learning new tasks quickly and executing them
-Must possess a driven mindset with completing tasks
-Must have reliable source for travel- this company is not public transportation accessible
