Executive Assistant

Are you an experience administrative or executive assistant looking to join a growing healthcare organization? This position is located in Decatur and will require this individual to travel to other locations in Georgia.

The executive assistant provides high-level administrative support to the Practice Manager by conducting research and also serves as a liaison to other team members; organizes and coordinates executive outreach and external relations efforts and serves as a member of the Administrative Pool. The Executive Assistant must be creative and enjoy working within an environment that is results-driven. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Responsibilities:
Managing extremely active calendars of appointments
Arranging complex and detailed travel plans, itineraries, and agendas
Composing and/or proofing correspondence that is sometimes confidential; and compiling documents for travel-related meetings.
Plans, coordinates and ensures the President/CEO, Chief Operating Officer and CAO schedules are followed and respected.
Researches, prioritizes, and follows up on incoming issues and concerns addressed, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
Provides a bridge for smooth communication between the President's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending some meetings.
Participates as a member of the Administrative Pool; including assisting and filling in for other administrative staff in absences and working collaboratively as a team.
Closely manages all aspects of travel arrangements including air, ground, and hotel.
Arrange complex and detailed travel plans for the President, provide itineraries and agendas, compile documents for travel-related meetings, and complete travel authorizations and expense reports on behalf of the President.

Working hours: 8:00 AM - 5:00 PM

Qualifications:
5- 10 years advanced administrative support experience working with senior level executives within and outside the company, clients, and visitors.
College degree or equivalent experience.
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Demonstrated proactive approaches to problem-solving with strong decision-making capability.
Highly resourceful team-player, with the ability to also be extremely effective independently.
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.
Forward looking thinker, who actively seeks opportunities and proposes solutions.
Experience supervising and managing staff.
Availability to accommodate early/late departures from the office, when needed.
Accessibility during evening/weekend hours, when needed.
Strong Word, Excel, PowerPoint, Adobe Illustrator, and Outlook knowledge required.
Solid understanding of Salesforce platform with in-depth knowledge of system capabilities and a strong background using Salesforce reporting functionality.
Extensive experience with Concur travel and expense software preferred.
