Administrative Assistant Intermediate level

The administrative assistant position will support a leader and their direct reports. Experience is required.

Supports by managing schedule and calendar, rescheduling appointments as necessary to accommodate
hanging priorities and providing timely reminders for item due dates. Gathers agendas in advance of
meetings. Coordinates travel, directions, and itinerary information. Provides phone coverage, typing
when needed and maintains filing systems.

Opens and sorts all mail regularly throughout the day. Prioritizes and forwards mail to appropriate staff
members based on knowledge of department responsibilities. Responds independently to routine
correspondence per standing instructions and elevates those issues outside of these guidelines.

Coordinates regularly scheduled meetings and appointments, including weekly staff meetings, one-on
one sessions, project kick-off and closing meetings for the department.

Builds rapport with company-wide administrative crew in order to facilitate timely scheduling of meetings
and information exchange.

Handles all documents with extreme confidentiality. Ensures that information is collected and
disseminated in advance of meetings.

Maintains appropriate inventory level for office, printing and fax supplies, ensuring that routine items are
always available. Handles all payments of invoices for the department with vendors and accounts
payable. Ensures that evidence of receipt is obtained before presenting for payment.

Establishes and maintains files for the business unit. Files all materials in an accurate and timely manner
to ensure easy access and retrieval by department personnel.

Greets visitors to the unit assisting them as needed with directions and other help. May be required to
guide visitors to a meeting location.

Assists with on-boarding of crew members, including coordinating setup of workspace and system

Participates in special projects and performs other related duties as assigned.

Working hours: 8:30 AM - 5:00 PM

High school diploma or an equivalent combination of training and experience. Associate degree preferred.
One to two years general business experience, preferably as an Administrative/Executive Assistant.
Excellent organizational skills and attention to detail.
Ability to effectively manage multiple tasks independently.
Ability to work well under tight deadlines.
Flexibility and interpersonal skills.
