Senior Administrative Assistant

Responsibilities:
Core Responsibilities of the Administrative Assistant II:
- Field inbound telephone calls;
- Provide calendar management and preparation of documents;
- Create spreadsheets and presentations as requested;
- Filing of Alpha Numeric Data;
- Triage mail; oversee shipping, receiving & staging associated with projects
- Code and approve invoices;
- Assist team lead in overseeing creation and issuance of purchase orders to subcontractors and vendors in relation to projects
- Tracking of shipments and materials in transit;
- Submit plan check packages;
- Update project tracking system;
- Generate requests for invoice;
- Run financial reports and audits of performance reports in the region;
- Entering of Data into system requiring relevant jobs; change orders; job closing;
- Order office supplies as needed;
- Oversee/advise on fulfillment of technician schedules to ensure technicians are being used when available and as efficiently as possible;

Working hours: 8:30 AM - 5:00 PM

Skills:
Required Skills for the Senior Administrative Assistant talent:
- 3 + years of EA Experience supporting a variety of Executives, ranging from CEO's, Area VP's and Project Managers
- Supporting of four (4) Executives (VP, National Sales Reps, Regional Sales Mgr)
- Microsoft Office Suite - Excel, including use of Pivot Tables, Formula Generation, running reports of YoY growth of Sales Departments
- Microsoft Office Suite - Access
- Microsoft Office Suite - Powerpoint
- Advanced ability to generate Presentations for Sales Departmental meetings
- Concur Expense Report Approvals
- Project Management / Ability to "Herd the Cats"
- Facilitation of meetings, hotel arrangements for Sales Executives, Coordination of Travel for Sales Executives / Regional Managers
- Pulling / Printing of Point-of-Sale transactions
- Monitor Accounts Receivable Reports / Aged Inventory Reports (Weekly, Bi-Monthly & Monthly)
- Food Service Industry Experience
- Bubbly, Personable, Professional
