Executive Assistant

Executive Assistant at Global Biotech/Pharma Lexington, MA
Contract:: 9 months with possible extension

Responsibilities:
OBJECTIVES:
??? Responsibilities further include administrative and related services designed to improve operating efficiency in the human resource department with regular supervision to plan, prioritize, communicate and organize a generally standard workload.
??? Planning and co-ordination as needed for 2 HR Business Leaders ( e.g. travel, meetings, calendar, office; cross functional engagements,); Completes expense reports
??? Planning and organisation of internal and external meetings/conferences/workshops for Leaders
??? Welcoming of guest and business partners ??? interfaces and communicates with internal and external customers; directs people to the appropriate resources
??? Supporting business activities on site /worldwide (e.g. printing, copying, troubleshooting)
??? Acting as co-ordinator of information and communication
??? Produces, maintains, and updates monthly reports, including but not limited to monthly headcount report, multiple org charts, open positions, contractors, and other various employee status reports.
??? Point of contact for questions to HR policies and processes
??? Investigates and utilies resources to provide solutionand answers in a timely manner
??? Performs other duties as required

Working hours: 8:00 AM - 5:00 PM

- Assists with the organization of meetings, included but not limited to reserving meetings space, registering attendees, food an beverage, printing and supply orders
- Actively participates in local and global projecst completing assigned tasks within established timelines

EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS:
??? Bachelor???s degree preferred or Associates Degree with a minimum of 3 year related experience;
??? 3 year of experience working in Executive Admin role desired
??? Must have ability to handle and maintain confidential information
??? Must have ability to work effectively with others
??? Demonstrated proficiency in Microsoft Office products
??? HRIM and LMS system experience preferred
??? Organizational skills and ability to manage and maintain accurate and detailed records
??? Proven time management skills
??? Communicates in a clear and articulate manner
??? Ability to interface with all levels of the organization and multiple levels of employees, both internal and external
