PAY: $25-$28 HR

NATURE & SCOPE (Describe the primary goal or function of this position)
Provide executive administrative and technical support. Coordinate activities and ensure sharing of best practices with other assistants within group (if applicable) to ensure timely completion of quality deliverables.

Responsibilities:
MAJOR ACCOUNTABILITIES (Describe up to eight/ten essential responsibilities of this position including significant tasks, responsibilities and projects)
??? Provide administrative support and work in close cooperation with relevant executive or team.
??? Schedule and coordinate schedule and calendar of relevant executive making independent decisions re: attendance/ conflicting meeting requests.
??? Prepare documents and correspondence in appropriate formats.
??? Manage correspondence, faxing, copying, and other such office administration details.
??? Create specific templates and troubleshoot problems (e.g. formatting, layout).
??? Draft and distribute meeting minutes as needed.
??? Schedule and organize both domestic meetings (Face to face, Tele-Conference, Video Conference, Net Meeting etc.) and liaise with appropriate counterpart for international meeting
??? Assist with budget tracking for the dept.
??? Maintain and organize paper and electronic documents (e.g. training, organization charts, contact information) and filing systems as required.
??? Coordinate office space and equipment needs for the dept.(e.g. work space for visitors, meeting rooms computers/laptops.)
??? Order department/group office supplies and process invoices, check requests, and purchase orders. Ensure proper follow up of these.
??? Responsible for travel arrangements of for US based SFM members as needed including but not limited to the LT including: flight reservations, hotel accommodations, and expense report processing.
??? Serve as ambassador for department to external visitors.
??? Participate on various internal project teams.
??? Such other responsibilities and projects that may be assigned.

Working hours: 8:00 AM - 5:00 PM

Skills:
Specific skills (Include specific skills and knowledge necessary to meet the objectives of the position)

- Excellent written and verbal communications skills in English
- Strong skills in other languages preferred
- Familiarity with medical terminology required and pharmaceutical terminology preferred
- Handle and prioritize concurrent assignments, and meet timelines.
- Work within an international team environment.
- Interact with all levels in the organization.
- Handle confidential information.
- Proficiency in MS Office Suite.
- Knowledge/understanding to operate office equipment (e.g. fax, copier, scanner, etc.) proficiently.
- Strong analytical skills

Problem solving (Describe the level of "self-starting" thinking required in the for recognizing, analyzing and solving problems)

Proactively deal with day to day administrative problems using good judgement and initiative

Experience:
Experienced

Qualifications:
EDUCATION: BACHELOR'S DEGREE PREFERRED
At least 4 years experience as administrative assistant or similar role with a strong preference of having gained such experience in the pharmaceutical industry.
