Medical Administrative Assistant
An established non-profit medical center located in Fremont, CA is looking for an administrative assistant. Do you enjoy working in a health environment? Our client is seeking a Administrative Assistant that will be responsible for providing administrative support ensuring the smooth workflow and daily activities of the Senior Management Team as assigned. The Administrative Assistant works with highly confidential and critical information and matters. The Administrative Assistant plays a vital role in ensuring ongoing and time sensitive communication to the Directors of Administrative Services, Clinic Support Services, Quality/Compliance, Development, Finance, and Information Systems (IS).
??? Responsible for day-to-day administrative functions
??? Provides administrative support to Senior Management such as prepare meeting minutes, reports, letters, memos and other correspondence.
??? Provides support to include handling walk-up, phone interactions, and maintaining calendars, travel arrangements, screening, analyzing, and responding to incoming correspondence, handling day-to-day problems and situations.
??? Perform duties as assigned by supervisor including heavy calendar management, project management and support to the Department Directors.
??? Assist and facilitate the timely collection of documents as required in cooperation with staff to ensure no disruption of staff ability to perform duties
??? Assist and coordinate the Business Office Manager in assuring that tasks are completed in a timely manner such that all deadlines are anticipated, planned, and met.
Working hours: 9:00 AM - 5:00 PM

- Discretion in dealing with sensitive, privileged, and confidential information.
- Self motivated and able to work independently, especially in fast-paced environments
- Ability to work well with a team to accomplish day-to-day goals
- Excellent communication skills and organization
- Basic understanding of medical terms and processes, including HIPAA regulations, insurance registration, etc
3-5+ years of administrative support experience reporting to a Director or Officer, preferably, in a medical and/or non-profit setting.
AA/BS/BA Degree or some college coursework (preferred)
