Administrative Assistant (Executive)

Provide excellent first-line communication and customer service through use of the email for tenants, employees, vendors and parents, and direct requests to the appropriate team member when necessary.
Aid in the back-office management of master lease properties including lease filing, payment management, and tenant communication.
Support the Board of Directors by scheduling meetings and teleconferences, creating agendas, preparing meeting materials and maintaining meeting minutes and records.
Conduct office management and team coordination duties for the staff, including planning team schedules and meetings and coordinating incoming and outgoing mail.
Manage, process and record all loan payments for the loan portfolio. Provide additional support for the loan portfolio through updating reports, responding to information requests, preparing loan statements and communicating with alumni volunteers.
Manage the payroll process for all non-headquarters employees by preparing the bi-monthly payroll with ADP (payroll processing provider), preparing bi-monthly payroll reports, establishing new employees and serving as lead contact for ADP.
Coordinate monthly payment process for all site managers (independent contractors at properties), including scheduling payments, preparing payment reports for recording and maintaining contract records for each site manager.
Provide administrative support for the Equity Management Fund and Chapter Investment Fund through managing withdrawal and deposit requests.
Maintain document retention and storage for legal and real estate documents, including electronic and paper records.

Ability to travel for annual leadership conferences
Broad knowledge of fraternity operations, volunteer corporations, real estate accounting, finance and management is a plus
