Training Support Specialist

job summary:
We have a 6 month renewable contract for a Training Support Specialist with a client of ours in RTP, NC.

Role Purpose

This role is to support a busy 7-person global training team as they plan, build and deliver training solutions to R&D.

Experience

3-5 years

Key Duties

Training Delivery Support

- Assist in building and delivering the global training implementation plan

- Complete and submit the required forms for each course in the Syngenta Learning Management System

- Handle WebEx coordination for virtual instructor-led trainings (VILT)

- Handle global shipments of training materials

- Learn the Syngenta learning management system (LMS) and input curricula

- Manage class rosters in the Syngenta LMS

- Learn the DRONA competency management system and use it to add/edit users

- Create curriculum catalog in PowerPoint following existing format

- Request office supplies

- Print, collate and bind training material (booklets, brochures, posters, notebooks, etc.)

- Other related duties as they arise

Event Planning and Delivery

- Hotel selection and reservations (for meetings, workshops, trainings, etc.)

- Site coordination including room reservations

- Source and book catering (Lunch, coffee breaks, dinners)

- Handle transportation logistics

- Document and communicate plans and logistics to attendees (i.e. provide contact information of the site, parking, safety requirements on the site, address, etc.)

- Other related duties as they arise

Procurement Coordination

- Create Purchase orders

- Maintain updated records of expenses

- Request new vendors

- Request approvals from procurement

- Secure approvals from Legal department on new SOWs

- Request new services/products to vendors

- Secure vendor estimates

- Other related duties as they arise

Team Meeting Support

- Coordinate weekly team meetings (secure agenda items from attendees and communicate pre-read in advance)

- Document meeting decisions, actions, highlights, and share back to attendees

- Other related duties as they arise

Document and Workflow Management

- Use Syngenta's Sharepoint system to maintain and build on the team's current document organization structure

- Maintain document control, database management, track project activities and team communication

- Work with project team to understand and assist with tracking all work, task and project assignments.

- Monitor and modify project schedule as assigned.

- Schedule project follow up meetings as needed. Software/Systems

- Microsoft: Outlook, Excel, PowerPoint

- myLearning (Syngenta Learning Management System)

- DRONA (Competency Management System)

- SmartSheet (work management software)

Experience

- Superior oral and written communication skills! Organize and communicate thoughts and ideas effectively and professionally

- Proven ability to manage small project from start to finish

- Experience working in alignment with Project Management concepts

- Analytical and problem solving skills.

- Proven ability to meet deadlines.

- Exceptional organizational skills with ability to handle multiple priorities and adapt to change.

- Collaborative working style and ability to develop/sustain productive work relationships

- Experience at working both independently and in a team-oriented, collaborative environment

- Adept at conducting research into project-related issues.

- Customer service skills an asset.

- Able to accommodate conference calls in various time zones (i.e. late night in Asia, early morning for Europe)

- Ability to effectively prioritize and execute tasks in a high-pressure environment
