We have a 3 month contract opportunity for a Project Coordinator in San Francisco, CA. Training for this role will take place in Oakland, CA.

Job Description:

Responsible for coordinating activities and resources in support of IS technical projects that impact multiple departments, systems, or work-flows with moderate to high risk and complexity in one or more project (s). Works with the Project Manager or assigned project lead to develop, maintain, and project manage aspects of a given project. Develops and maintains project infrastructure in relation to tools, processes and resources in coordination with the Project Manager. As a member of the project management team, works closely with other team members in collecting and routing information and assists in managing project timelines and escalating as appropriate. Provides administrative support to assigned project teams as needed.

Assists the assigned project lead to develop, maintain, and project manage aspects of a given project. The scope of participation will include as required:

- Prepares Project Plans, risk assessments, review of materials, and other project documentation as required.

- Tracks and documents Issues, Risk, and/or Project Scope Change Management processes, runs reports and may perform trending.

- Assists in project documentation management (including version control, that proper templates are used, that team members accurately check documents out/ in, etc) and status reporting.

As a member of the project management team, the Project Coordinator works closely with other team members in collecting and routing information and assists in managing project timelines and escalating as appropriate

- Resource assignment and schedule maintenance.

- Performs demand capacity analysis.

- Works with the implementation team and vendors to get answers to project questions, as assigned.

- Communicates information effectively to other team members.

- Assists in the development of the project training program and related materials as assigned.

- Remains up-to-date on changes and project updates.

- Accepts other assignments for specialty projects as requested and deemed appropriate by the assigned Manager or Project Manager.

- Escalates issues to PM or to others under guidance of PM.

- Disseminates information related to project timeline and deliverables.

Develops and maintains project infrastructure

- Ensures workspace is available and that all team members are given appropriate levels of access.

- Files documents in the appropriate spot.

- Posts project deliverables and templates.

- Supports project lead by submitting one-liner project overview to project server during discovery phase for higher-level approval.

Provides administrative support to assigned project teams

- Schedules meetings, including arranging for required rooms, materials and supplies.

- Prepares agendas, and takes and distributes minutes.

- Captures follow-up items and follows-up on assignments.

- Demonstrated experience using Project Management software tools.

- Experience with MS Project.

- Intermediate MS Word, Sharepoint and MS Excel.

- Experience in the healthcare industry is desired.

- Organize and communicate thoughts and ideas effectively.

- Manage small to routine projects.

- Demonstrated ability to maintain schedule within Project Server.

- Analytical and problem solving skills.

- Proven ability to meet deadlines.

- Independent, self-starter attitude with the ability to complete projects in a timely manner with little supervision or direction.

- Exceptional organizational skills with ability to handle multiple priorities and adapt to change.

- Collaborative working style and ability to develop/sustain productive work relationships with key stakeholders across all areas and levels of the organization as well as external consultants.
