HR Coordinator

job summary:
The Human Resources Coordinator will be responsible for providing support to the HR Director, HR team and the Home Office employee population in a fast-paced environment. Primary responsibilities include all aspects of the employee lifecycle from on-boarding to off-boarding. This involves researching and answering inquiries, preparing documents and/or initiating procedures, and owning the onboarding and offboarding processes. The HR Coordinator is responsible for updating and maintaining employee records in the Company's HRIS with a variety of transactions including new hires, separations, job changes, and generating reports as needed. The HR Coordinator will assist with document preparation of all internal and external audit reviews, provide backup to the recruiting team with administrative functions as needed, and assist with the preparation and execution of all Company related events and other Company policy initiatives. The incumbent will also be responsible for ad hoc projects as requested.



Essential Functions

  • Provide outstanding customer service by responding to and following through on all employee requests and inquiries.
  • Must be detail oriented, build positive relationships and be a collaborative partner - all are key in the Coordinator's role.
  • Perform full cycle on-boarding processes, including updating new hire orientation presentations, preparing orientation packets, conducting on-site and remote new hire orientation, and ensuring all necessary information has been completed and updated by the new hire and entered in HRIS timely.
  • Perform full cycle off-boarding processes, including preparing and sending the appropriate documents, scheduling and/or conducting exist interviews and updating HRIS.
  • Assist with the preparation and execution of all Company events which include but are not limited to Take Your Child To Work Day, Employee Raffles, Holiday Brunch, etc.
  • Accountable for maintaining or updating other office "Employee Day" events.
  • Accountable for maintaining and updating HR SOP's, HR Company Portal news, new hire orientation, employee discount program and other related company and employee processes.
  • Assist with planning and preparation of all HR related initiatives and Company events.
  • Maintain department budget spreadsheet and process invoices for payment.
  • Provide backup administrative support for the Talent Acquisition team and the Company's ATS accordingly.
  • Provide reception back-up as needed.
  • Maintain the Records Management system by processing requests for retrieval and return of files. Coordinate, prepare and execute the destruction of files annually.
  • Additional projects and assignments as needed.
  • Complies at all times with the Standards, policies and Code of Business Conduct and Ethics set out in the Bookseller Handbook.
Requirements/Qualifications

  • 2+ years of corporate administrative experience; previous experience supporting a Human Resources department strongly preferred.
  • Proficient in Microsoft Office (Word, Excel Outlook, and PowerPoint); Ability to generate, manipulate, and interpret reports
  • Excellent customer service and communication skills
  • Detail oriented with strong organizational skills
  • Ability to use discretion and maintain confidentiality when dealing with sensitive information
  • Ability to demonstrate flexibility and agility in a fast-paced environment with priorities continually changing
  • Excellent follow-up and follow-through skills
  • Ability to be proactive and drive initiatives through execution
  • Team player with the ability to multi-task and 'roll up his/her sleeves'
  • Associates Degree required; Bachelor's Degree preferred
