Compliance Analyst

job summary:
Responsibilities:

Temporary worker will assist the Compliance Department's Policy Governance team (PGT) on projects related to enhancing presentation formats, general functionality, usage tracking/reporting and maintenance of Compliance documents published on our internal and externally facing websites.

The primary project entails creating a new template and modifying all policies, et al., to conform to a new format that incorporates HTML to provide links for pop-up information for key terms ; verifying/updating links for glossary terms to SharePoint files and internal websites; adding text for pop-ups/informational boxes, assisting in defining usage metrics and creating reports, develop training deck and deliver training to policies team members and others as needed on work done, creating/revising SOPs as needed for ongoing maintenance, etc.

The temporary worker will also participate in design/requirements meetings as needed with the Policy Governance head, to assist in developing the feasibility analysis of migrating to a new policy management system, ensuring the HTML format functionality being implemented can be replicated. If the new system chosen during this assignment, assist in developing the implementation and migration plan.

Among changes to the documents include:

  • Removal of the 'Defined Term' section, confirming creation of hyperlinks to defined terms in the body of the documents, adjusting document formatting, e.g., header, footer, footnotes to accommodate HTML for English website versions.
  • Verify all defined terms referenced in the documents are linked to the current terms in the Policy Glossary, and remain linked if after glossary changes; list all policies where the definition is used in included in the glossary definition
  • Production of "print ready" versions that either remove the links and include the defined terms or a print ready glossary
  • Update the glossary, a SharePoint site as necessary with new/revised terms and hyper-links to compliance policies
  • Develop requirements document and work with Compliance IT and other IT areas to ensure the Policy glossary is loaded a production website platform and is accessible from all internal and external websites where Compliance Policies are published. Compliance must maintain permission to update the production glossary (add / update / retire / report)
  • Create of new word templates in the current policy management system that incorporates the new website publishing requirements
  • Administration:
  • Work with PGT members and SMEs to document detail requirements and deliverables for the primary project; assist in developing the project plan
  • Assist in evaluating the proposed process and suggest improvements/efficiencies for updating and reconciliations
  • Attend project and other meetings; be prepared to report status or provide other information as required
  • Ensure project plans remain on schedule.
  • Keeps management informed of status; escalates as needed
  • Implement agreed upon coding and other updates
  • Design function tests and evaluate results from testers; correct errors; suggest improvements
  • Determine the effect on maintenance processes and document changes in SOPs as needed
  • Proofread all policy documents and correct documents moved to an HTML format


Qualifications:

  • Database, HTML and website tracking/reporting tool experience;
  • Experience with Web Trends, IBM One Note, Navex Policy Management systems, a plus
  • Ability to work independently and with team members when needed
  • Self-starter, with keen sense of prioritization with direct manager direction and approval; meets deadlines
  • Displays good judgment in knowing who needs to be involved and kept informed
  • Detail-oriented and organized
  • Able to function at high levels under pressure and within short turnaround times to produce expected results, without error
  • Excellent written and oral communications and relationship building skills
  • Collaboration skills
  • Comfort with working and communicating with all levels in the organization
  • Qualifications/Skills:
  • Proficient in basic HTML coding
  • Proficient in Word, Excel (e.g. templates, vlookup and other functions)
  • Advance knowledge of SharePoint and MS Access (databases development), and Word formatting.
  • Proficient with VBA, and writing macros
  • Experience with Web Trends, IBM One Note and/ or Navex Policy Management systems, a plus
  • Knowledge of Data integration
