Job Summary

Coordinates the trafficking of various marketing projects and deadlines and effectively coordinates logistics accordingly. Provides skilled project scheduling, database management and production timelines through Member & Provider Communications departments. Collaborates with senior marketing staff and internal business partners to expedite route work for review and approvals while streamlining production of projects that meet established marketing objectives.

Responsibilities

  • Collaborates with business partners to understand project plans and schedules while providing input during the critical development phase.
  • Manage day-to-day creative requests, schedules kick-off meetings, including completeness of information at project inception, including creative briefs; opening and distributes job jackets.
  • Activates marketing projects and assigns resources while establishing task due dates at all phases of creation and production.
  • Assigns schedules and oversees progress on assigned marketing projects by means of status reports.
  • Distributes project workload effectively and expedites rush jobs and assist with the creation of regular reports.
  • Creates and manages project production timelines, calendars and incorporates information into database application to monitor progress.
  • Proactively obtains, tracks, and routes materials, proofs and approvals for all assigned projects for on time delivery.
  • Meeting management; facilitate effectively in one-on-one and in small teams settings while providing exceptional written follow-up.
  • Provides consistent and proactive communication on project status; keeps stakeholders informed of obstacles or schedule variances.
  • Closes assigned marketing projects and ensures appropriate documentation is included in the project job jacket.
  • Required to file completed marketing projects and archive job jackets via Iron Mountain
  • Creates and pulls status reports from workflow database for Trafficking and reviews data for on time delivery and turnaround times on projects.
  • Assists in maintaining the department intranet site to ensure version control of working marketing projects, responds to audit requests and back-up research.
  • Provides back-up support to peer Traffic Coordinators and Traffic Manager as necessary.
  • Documents Traffic procedures, work instructions and conducts annual review to reflect revisions and updates to process.
  • Performs other duties as required.
Qualifications

  • Education: A Bachelor's Degree in a related field Preferred
  • Work Experience: 3+ years of experience in Traffic and Production in a corporate or ad agency required
  • Technology: Microsoft Excel; Knowledge of software applications such as Preflight. FTP. Excel. Access. ProSight (preferred). and SharePoint (preferred) Intermediate
  • Ability to work in a matrixed environment Beginner
  • Ability to multi-task Intermediate
  • Ability to proof large bodies of materials Intermediate
  • Demonstrated written communication skills Ability to multi-task Advanced
  • Demonstrated project management skills Advanced
  • Other Appreciation of the creative process and skilled at working with creative teams Intermediate
  • Other Industry experience, preferably in a large corporation or professional design firm. Intermediate
