Payroll and AP Manager

job summary:
Leading Restaurant Service Company is hiring a Payroll & Accounts Payable Manager in Mountain View, CA. This position is full-time, exempt with full benefits and will be responsible for directing both Payroll and Accounts Payable departments and will report to the Controller.

Responsibilities include:

  • Accurately manage all multi-state payrolls; 40% exempt and 60% non-exempt employees, complex payrolls including bonus and commissions, salary adjustments and ensures compliance with pay rules.
  • Administration of Company's 401k plan, managing timely submissions, rollovers and withdrawals.
  • Partners with Payroll Supervisor to ensure accuracy and timeliness of payroll, review off-cycle payroll, ensuring timely check processing, leaves of absence and reviews payroll reports.
  • Handles escalated field queries and resolves issues in a timely manner.
  • Partners with the Accounts Payables Supervisor to resolve invoice discrepancies, monitor expense account reconciliation, monitor vendor statement reconciliations and ensure timely check runs.
  • Ensures the completion of accounts payables month end closing process for disbursements.
  • Provides bi-weekly, monthly, quarterly and annual reporting to Controller and HR.
  • Ensures payroll tax payments are in compliance with applicable federal, state and local tax laws.
  • Maintains Company's payroll compliance by staying up to date and preparing for new federal, state and local legislation, educating and training departments and advising management of changes.
Qualifications:

  • Bachelor's degree in Accounting or related field preferred.
  • Prior supervisory experience with 7-10 years in a progressive Accounting and Payroll career.
  • Minimum 3 years of ADP Workforce Now and E-time experience in a multi-state environment.
  • Intermediate to advanced proficiency with MS Excel, including Vlookup and Pivot Tables.
  • Minimum three years of multi-state tax compliance and payroll tax experience.
  • Demonstrated ability to create custom payroll reports.
  • Track record of maintaining a positive and collaborative work atmosphere while imparting a warm customer service approach to all internal employee issues.
  • Ability to communicate sensitive information in a thoughtful manner.
  • GP/Dynamics experience preferred.
