Senior Talent Acquisition Coordinator

job summary:
A fortune 100 consumer services company, is currently seeking an experienced Senior Talent Acquisition Coordinator that will support their Executive Recruiting Team. This team recruits for all the high level Executive positions. If you are familiar with recruiting strategies, including sourcing, screening and interviewing methods, we'd like to meet you. Ultimately, you will help keep the hiring process smooth and ensure we recruit and retain high-performing employees. This is a 12 month engagement with potential for extension.

Talent Acquisition Coordinator Responsibilities:

Recruiting Administrative Process

- Initiate the recruiting process by scheduling kickoff meeting with the hiring manager, HRBP and recruiter.

- Ensure positions are created in Workday

- Post job on internal and external gateways ensuring formatting and content accuracy

- Scheduling recurring update meetings with hiring manager, HRBP and recruiter to review candidates, updates, and track progress

- Ensure all interviewed candidates have completed employment application

- Disposition all candidates in the Applicant Tracking System (ATS) that were not selected

- Create offer letter for recruiter review and approval; once approved send offer letter and new hire packet to candidate

- Drive and manage the on-boarding process:

o Send all documentation to the New Hire team to process the hire

o Follow up with the hiring manager to confirm the e-Boarding link. This will ensure the new employee has a security badge, laptop, workspace, desk phone; extension, mobile device, etc.

o Monitor the background check status and confirm with recruiter when completed

o Verify the Diverse Slate Acknowledgment is confirmed

o Ensure the requisition is closed once all steps have been completed


- Coordinate candidate interviews (via phone, skype or in person) based on recruiter / hiring manager requests

- Create interview itinerary for candidates and provide to Hiring Manager and interview team

- Make travel arrangements for candidates not local to interview location

o Please note that in some cases there are 5 candidates interview with 5 members of the team which equals to 25 meeting.

o In addition, some candidates will require international travel arrangements

Manage Executive Agencies / Vendor process and contracts

- Create Statement of Work (SOW's) for the searches using agency partners.

- Manage the processing of all invoices

- Ensure all Agency SOW & Invoice data is accurate for monthly accrual


- Bachelor's degree with concentration in Business, Psychology or Human Resources is highly preferred; Extensive experience supporting and interacting with the senior most executives

- Experience using professional social networks (LinkedIn, in particular)

- Experience sourcing professional senior level talent through multi-channels.

- Extensive knowledge of applicant tracking systems and CRMs a plus.

- Work experience as a Talent Acquisition Coordinator, Executive Assistant or similar role

- Responsibilities include providing administrative assistance to our recruiting team, crafting job descriptions and maintaining databases with candidate information.

- Craft and update job descriptions; Prepare job offer letters

- Conduct compensation and benefits analyses for various roles

- Organize candidates' data (e.g. resumes, assignments and contact details) in internal databases

- Design candidate experience surveys and analyze feedback
