Contract Specialist

job summary:
The Contract Specialist position will be responsible for managing the contract management process throughout the contracting life-cycle, from pre-proposal activities through contract close. This position will be under the direction of the VP, Procurement. The Contract Specialist will review, coordinate and/or negotiate a wide range of agreements (including, but not limited to; software licenses, equipment maintenance, professional services, and consulting services agreements). The position will ensure compliance with International corporate policy; while assisting in with day-to-day contract-related tasks with Legal, Finance, and various contract requesters.

  • Serve as a primary point for contractual matters throughout the contract cycle, from formation through execution.
  • Review all agreement terms and conditions, provide guidance on proposal and negotiation strategies, and assist with risk analyses and cost assessments of pending agreements.
  • Proactively manage and administer a variety of new and renewal contracts; prepare and coordinate business support documentation; maintain accurate and complete contract files for proper metric and KPI reporting
  • Actively manage and oversee the process of completion or renewal of active contracts (e.g. end user interaction, coordinate and assess risk with new vendors).
  • Remain actively engaged with key contract related stakeholders.
  • Develop strong interfaces with Legal, Finance and other high volume contract requesters.
  • Maintain close contact with appropriate levels of Shared Services management as necessary to effectively drive the contract process to completion.
  • Ensure all contract management activities are conducted in accordance with company policies, procedures, applicable laws and regulations, and insure that an effective contract management process is in place.
  • Provide advice and guidance regarding other related activities such as budgets, accruals, asset management, and invoice payment.
  • Identify opportunities for process improvement, applying best practice principles and concepts where appropriate.
  • Perform other contract-related duties as assigned.
Minimum of 3-5 years' experience in Contract Review and Administration or 8-10 years Procurement experience

  • Detail oriented with strong organizational, multi-tasking, and problem solving skills
  • Strong verbal and written communication skills
  • Experience communicating effectively with all levels of management
  • Experience working with NDA's and Master Agreements, SOW's and Managed Services agreements
  • Strong proficiency with Microsoft Office suite (Windows 10, Word, Excel, PowerPoint)
  • Experience with ERP or Contract software applications a plus (e.g. Novatus, Concur, SAP)
