Executive Assistant

job summary:
Position Objective:

Contribute to overall Company growth plans and objectives by offering unprecedented administrative support to President/COO.

Position Responsibilities:

Administration

  • Work closely on priorities and activities of President/COO and SVP - National
  • Take initiative to assist with current and on-going priorities, activities, and action items, and conduct in-depth research as needed.
  • Review trip reports and take action as indicated.
  • Follow up routinely with direct reports regarding various action items.
  • Perform administrative functions including, but not limited to:
  • Maintenance of daily calendar.
  • Generation of appropriate correspondence, memorandums and file notes and ` other action items as requested.
  • Screening of incoming calls, taking appropriate action as necessary.
  • Handling of daily mail.
  • Provide back up, as needed, to the front desk receptionist.
  • Preparation of travel expense reports; review and approve expense reports of President/COO and SVP - National Markets' direct reports.
  • Maintain President/COO's company vehicle mileage log.
  • Keep President/COO's company vehicle current on maintenance and inspections.
  • Coordinate travel arrangements, accommodations, meetings, etc.
  • Serve as a back up to VP - Corporate Administration and Executive Support Administrator
Performance and Personnel Management

  • Oversee Annual Performance Management Process
  • Coordinate the annual performance management process for President/COO with his direct reports and their direct reports.
  • Schedule all meetings for President/COO with his direct reports to review performance evaluations and compensation recommendations for both themselves and their teams.
Marketing

  • Provide general administrative support to National Markets Team.
  • Handle National Markets projects on an as needed basis.
Event Planning

  • Coordinate two staff social events per year; one spring/summer and one winter.
  • Coordinate company participation in charitable projects, as directed by the President/COO (e.g., Habitat for Humanity).
Position Qualifications:

  • 4-year college degree required
  • Prior executive administration experience preferred
  • Exceptional attention to detail
  • Ability to work with numbers
  • Outstanding organizational skills
  • Strong written and oral communication skills
  • Strong interpersonal skills and telephone demeanor
  • Proven ability to handle time management and client relationships demands
  • Effectively establish and maintain business relationships
  • Team player who can work independently
  • Ability to exercise good business judgment and independent thinking
  • Proficiency in software applications, including: MS Word, MS Outlook, PowerPoint, Excel, Publisher, and Adobe Acrobat
