Administrative Assistant

job summary:
  • Coordinate CI Americas event planning, meeting organization and regional organization communications. Coordinate CI office space facility related topics in partnership with the Power Tools facilities team in Mt. Prospect, IL.
  • Coordinate regional meetings to increase awareness and transparency of information flow.
  • Proactively propose improvements and changes to current meeting frequency, duration, format, etc to continuously improve the regional associate experience.
  • Support cross-functional regional communications efforts through all digital channels; recommend areas for improvement to increase associate engagement.
  • Coordinate with local CI technology teams to ensure successful meetings across multiple locations leveraging internal technologies for live stream, video recording and audio formats.
  • Proactively resolve facility issues in the CI areas in coordination with Power Tools North America (PTNA) Facilities Team (FCM) as needed.
  • Enable working solutions for the CI Mt. Prospect associates to meet Inspiring Working Conditions (IWC) standards, plan for expected growth, reorganize layout and location of desks/furniture as needed.
  • Ensure purchasing, ordering, quotes, etc are processed in accordance with policies and standards as appropriate; follow up as needed to ensure timely processing through the Bosch systems.
  • Coordinate with PTNA FCM and CI regional leadership to proactively communicate budgetary needs, spend and planned changes for CI facilities related topics in Mt. Prospect.
  • Proactively research and enable new physical and digital design options while considering budgetary constraints related to the facility and meetings set up; implement feedback process for frequent input from associates to provide suggestions to be enabled.
  • Oversee intern(s) tasks and prioritization of day-to-day work in support of CI Mt. Prospect facilities and regional communications activities.
  • Support special projects as requested by North America region lead or other CI leadership.
Required:

  • Strong written and verbal communication skills.
  • Bachelors Degree in Business Management, Communication or similar field of
  • study; 8 years experience in lieu of.
  • Ability to manage competing demands always looking for the best overall solution(s) while keeping budget as a priority.
  • Ability to manage a varied workload and prioritize as needed.
  • Strong ability to coordinate cross functional teams and efforts in support of regional communications.
  • Problem solving skills to find solutions to challenges and needs of the organization.
  • Strong ability to work with external contractors and external vendors.
  • Ability to ensure timely and accurate processing of invoices and payments for work completed/materials received. Quote/RFP/Estimate, PO/Ordering and invoices processes experience.
  • Strong experience with MS Office products AND/OR Mac products

  • German/English bilingual (or Spanish/English, Portuguese/English)
