Randstad Professionals is seeking a Project Coordinator to join our clients' team in Charlotte. This individual will be responsible for providing administrative and tactical support for three remote Project Managers. Seeking an ambitious individual who enjoys a fast paced environment and has excellent customer service skills.

responsibilities:
  • Communicate and follow up with customers' requests as required about specific projects
  • Process invoices for customers and/or vendors based on services rendered
  • Track and report on material status for projects as directed by the Project Manager
  • Assist with creating written estimates for customers based on engineering, labor, and materials
  • As needed support project manager to visit project sites to evaluate progress and respond to customers' concerns or questions as directed by the Project Manager
  • Communicate with site superintendents about delays and any other issues that must be communicated to clients
  • Assist with updating project data in various systems
  • Create reporting and tracking spreadsheets for projects as directed by the Project Manager
  • Assist the Project Manager in all phases and aspects of the project
  • Attend pre/post-installation conference calls
  • Support the creation of project meeting agendas as directed by the PM
  • Attend weekly project meetings as requested by the Project Manager and keep detailed meeting minutes for publishing to project team
  • Assist PM in the development of the overall project schedule
  • Ability to review drawings and specifications to become completely familiar with the project and identify long lead times and critical path items.
  • Assist with creating submittals, purchase orders
  • Assemble the close out documents for customers
  • Monitor and report on invites and bids in CTL Bidmaster system.
  • Distribute billing reports for CTL and other customers on a regular basis and as requested
  • Work with sales, project managers, and deal management to obtain contracts and purchase orders for entry into the SAP sales order
  • Ensure Sales Orders are entered into SAP to match the billing method described in the customer purchase order
  • Offer input into Sales Order structure concerning the number of line item, units of measure, cost per unit, and anticipated delivery/billing dates
  • Consult with project managers and finance to ensure reports match the revenue recognition timing within SAP
  • Participate in weekly/monthly forecasting meetings to offer input into dates and risk associated with timing of revenue recognition represented in the SAP backlog
  • Run daily backlog report to determine what projects are past due and work with PM to determine root cause and potential new dates
  • Update key performance indicators for daily shipping/billing, monthly forecast accuracy, and others as required
  • Work with finance, deal management, and project managers to confirm that correct pricing is used and entered in SAP
 
qualifications:
  • Associate Degree or higher required, Bachelors preferred
  • 2+ years experience working within Project Management
  • Ability to follow directions and take initiative when required
  • Extensive knowledge with Microsoft Office products:
  • Excel, Word, Outlook, MS Project
  • Strong organizational skills
  • Strong written and oral communication skills
  • Ability to handle rapidly changing priorities
  • Attention to detail with focus on error-free work
  • Works well in team environment and with peers - team player
  • Result-oriented and responsive; utilizes network, SME's and other available resources to facilitate driving tasks to closure.
  • Familiarity with Procore project management software desired
  • Experience in the construction industry a plus
  • Superior administrative skills
  • Demonstrated record of delivering high quality results
  • SAP experience highly desired
