The Staff Accountant has responsibility for preparing all invoices related to Members' annual dues, special assessment billings, and for other program service areas. In addition to this primary responsibility, the Staff Accountant is also accountable for certain general accounting duties. The Staff Accountant may also be required to perform other ad hoc accounting, financial, or administrative tasks as requested by the Senior Accountant, the Director of Accounting, or the CFO.

I. Oversee Members' dues calculations and billings

- Prepare all invoices including annual Member dues, special assessments, and other fee-for-service invoices

- Review Members' submission of company sales data for accuracy, completeness and

consistency prior to performing dues billing procedures

- Create invoices using proprietary software; submit invoices using Member

companies' online systems as needed; secure Members' purchase order information

where necessary to secure timely payment

- Calculate estimated dues for prospective Members

- Update Monthly Invoice Creation Tracking Log for CFO

II. Manage billing inquiries and adjustments

- Prepare check requests for refunds (e.g., for duplicate payments and overpayments)

- Calculate and prepare invoice adjustments as necessary; calculate special invoices for Members electing to pay in installments

- Respond to inquiries regarding invoices issued to Members and others

- Assist the Senior Accountant and Director of Accounting on accounts receivable- related inquiries and issues

III. Other principal duties

- Assist and train staff on invoice submission procedures and other accounts receivable-related functions

- Perform monthly account reconciliations; maintain ledgers for investments and capital

asset acquisitions

- Perform GL account analyses; prepare adjusting journal entries including but not limited to payroll and depreciation/amortization; prepare bank reconciliations; document

accounting procedures

- Assist the Senior Accountant and Director of Accounting with the preparation of audit

schedules for accounts receivable transactions prior to and during the annual audit


- Provide recommendations to digitize and automate processes where possible; execute implementation as directed by the Senior Accountant and Director of Accounting

- Undergraduate degree in accounting or finance required

- Minimum of one year experience in related field preferred

- Knowledge of GAAP

- Excellent time management skills

- Proven ability to independently prepare accurate ad hoc analyses and reports

- Must be customer-focused and eager to assume new challenges

- Proficient in Microsoft Office Suite, particularly Excel
