Our client, the world's largest medical supply company, is looking to bring on a Change Control Coordinator for a seven month contract at their offices in either Louisville, KY or Irving, TX (remote to start).

Job Description:

The Coordinator, Change Control is responsible for supporting all aspects of the change control process and ensuring that all documents meet the requirements of the company's policies and standards as evidence that the change control process is executed properly. This role will assign document control numbers and maintain a log of changes, ensure that all documentation is received (including supporting documentation) and then maintain all change control documentation packages. This role will also schedule all Change Control Committee (CCC) meetings, develop and distribute meeting agendas, and then document, distribute and maintain meeting minutes. This role will also serve as a resource for reporting the status of changes and providing coaching on the process and requirements to change owners to ensure requests are submitted correctly.

Key Responsibilities

1. Documentation Management - 40%

- Assign change document control numbers and maintain the log

- Receive and analyze change requests prior to submission for approval by CCC

- Work with change owners to obtain any missing information, if needed

- Ensure that supporting documentation (test results, communication plans, etc.) are received and part of the documentation package, as required

- Facilitate initial and final approvals of change control documentation

- Maintain minutes from all CCC meetings

- Store change control documentation in the appropriate location (drive, folder, application)

2. Committee Scheduling - 30%

- Schedule CCC meetings, both regular and emergency meetings

- Develop and distribute the agenda for upcoming CCC meetings, which includes electronic copies of the change requests for review prior to the meeting

- Record and distribute meeting minutes for CCC meetings

3. Reporting - 15%

- Maintain a schedule of current changes

- Maintain a status report of changes

- Assure that daily, weekly and monthly reporting is accurately completed on time

4. Coaching - 15%

- Provide coaching to change owners on process and documentation requirements

- Provide feedback to change owners if there is any missing information

Minimum Job Qualifications (Knowledge, Skills, & Abilities):

Education/Training -

- Bachelor's degree or 4+ years of equivalent experience

Business Experience -

- 2+ years of experience in a change or project management role

- Experience with and understanding of change management and control processes

- Familiarity with the use of project management tools and methods

- Shown ability to work effectively with all levels

- Coaching experience

Specialized Knowledge/Skills -

- Strong facilitation skills

- Detail-oriented with a structured approach

- Strong written and verbal communication skills

- Proficient in MS Office (Word, Excel, PowerPoint, etc.)

- Scheduling and ability to manage multiple priorities

- Problem-solving skills

- Strong coaching skills

Working Conditions:

Environment (Office, warehouse, etc.) -

- Traditional office environment with general office demands.

Physical Requirements (Lifting, standing, etc.) -

- Large percent of time performing computer based work is required.
