Finance Administrator

job summary:
My client is currently looking to hire a Finance Administrator to support overall scanning and ingoing/outgoing mailing activities for the North American (NA) Finance team. This position is 100% in office.

Responsibilities to include opening, sorting, and scanning incoming mail, ensuring delivery of scanned and physical mail to the appropriate team, organizing and packaging documentation for outgoing mail, calculating and affixing postage, and sending off outgoing mail to ensure compliance with team delivery requirements.

  • Open, sort, and scan all incoming mail to the various NA finance departments
  • Delivering electronic, and physical mail as applicable, to the appropriate business partner daily
  • Organize documentation and package outgoing mailings; includes completing required tracking/log reports
  • Identify appropriate delivery method (USPS FedEx, etc) and calculate postage for outgoing mail
  • Admin scanning and mail services will primarily support Accounts Payable and Tax Accounting:

    • Tax Acctg Vols (annually):

      • Incoming/Scanning:

        • 350 Due Diligence Letters
        • 900 Business Licenses/Renewals
        • 4,600 Property Tax Assessments
        • 6,000 Property Tax Bills
      • Outgoing/Packaging:

        • 1,400 Due Diligence Letters
        • 700 Business Licenses/Renewals
        • 1,000 Property Tax Returns
        • 6,000 Property Tax Bills
        • 30 Deposit and Sales/Use Tax Returns
    • Accounts Payable Vol (annually):

      • Incoming/Scanning:

        • 20,000 Invoices to various bottlers email boxes for processing
        • Sort and scan other AP related documents - B-Notices-W9, Vendor Statements
  • High School diploma or GED equivalent
  • Customer Focus: Developing sustainable, productive internal and external customer relationships and establishing oneself as a valued, trusted financial business partner
  • Demonstrated team leadership managing multiple processes
  • Strong analytical, problem solving, decision making and communication skills
  • Attention to detail; independent thinking
