Talent Acquisition Coordinator

job summary:
The Talent Acquisition Coordinator will support the Talent Acquisition Department in all phases of the recruitment lifecycle, emphasizing positive experiences for hiring managers, applicants, and onboarding candidates.

Goals & Objectives:

  • Support administrative processes for all phases and types of talent acquisition. Proactively drive open items to closure.
  • Provide direct support for hiring managers, applicants and onboarding candidates as directed.
  • Coordinate onboarding processes, documentation, and communication to ensure smooth and timely transition to payroll and seamless candidate experience.
  • Support quality assurance processes, vendor evaluation and administration, and temporary staffing services coordination.

Duties & Responsibilities:

  • Assist Talent Acquisition team members in creating job requisitions through Applicant Tracking System, posting to career pages and approved external job boards.
  • Regularly track the pipeline of applicants, manage paperwork through all stages of hiring lifecycle, and serve as a point of contact for new hires.
  • Perform recruitment of assigned open job requisitions under the direction of Talent Acquisition Team leaders. Administer the hiring process for assigned requisitions, ensuring all paperwork is received, drug and background checks are conducted, and applicant flow data reports are completed for each job posting.
  • Finalize all requisition files and close once all data is received.
  • Act as a liaison between the Hiring Manager and the Recruiter throughout the recruiting process.
  • Facilitate candidate reception and onsite interview schedules.
  • Provide administrative support in scheduling job interviews through Cornerstone (ATS) and arrange travel for candidates.
  • Perform reference checks; and inform the Recruiter on any discrepancies.
  • Support onboarding of new employees, including coordination of services with IT, Facilities, and other departments.
  • Collaborate closely with the HP administrative team in managing onboarding employment-related documentation required for new hires, organizational changes and intercompany transfers.
  • Assist with new hire orientations and other related projects, prioritizing positive, welcoming experiences for new employees.
  • Coordinate and oversee the organization of all employment service agreements and vendor contracts. Coordinate periodic reviews and evaluation of service levels, track effective dates, and ensure compliance with Legal department contract requirements.
  • Ensure the integrity of data and make necessary adjustment in the ATS as needed or requested.
  • Generate temp staff reports for invoicing and utilization costs.
  • Prepare reports on open positions and other reporting needs.
  • Perform other duties as required.
Education & Experience:

  • AA degree or equivalent combination of experience and coursework required; Bachelor's degree preferred.
  • 3 years of experience in a recruiting environment or high-volume human resources administrative support capacity working with sensitive and highly confidential materials.
Key Technical Skills & Knowledge:

  • Demonstrated proficiency with Microsoft Office products at the following levels:

    • Word, Outlook: Intermediate level of skill.
    • Excel: Intermediate level of skill
  • Ability to stay highly organized with great attention to detail in a fast-paced environment.
  • High level of professionalism and strong customer service skills, including outgoing and friendly disposition.
  • Ability to communicate effectively with all levels of management and a diverse pool of candidates.
  • Ability to objectively review job applicants and conduct interviews by phone or in person in a fair and consistent manner and according to listed job requirements.
  • Track record of working cohesively with a team environment.
  • Previous utilization of HRIS and Applicant Tracking Software or demonstrated ability to quickly learn and effectively use information management software.
  • Excellent verbal, written communication, and interpersonal skills.
  • Highly accurate alpha-filing and office organization skills.
  • Ability to maintain confidentiality and exercise a high level of tact and discretion.
  • Ability to prioritize and handle multiple projects with attention to detail and follow through.
  • Excellent organization skills and ability to maintain productivity in a fast-paced environment.
  • Ability to work effectively under pressure with poise and professionalism.
