Program Manager

Looking for a Program Manager to coordinate all office services for the San Francisco office, Portland office, San Diego office, and remote employees. The primary business outcome for this position is to support company initiatives and provide administrative support for the department. This position may interact with a supervisor several times a week, perhaps daily, to receive guidance and feedback. This role is generally characterized by basic levels of scope and complexity, and a moderate level of independent decision making.

Essential Job Duties and Responsibilities:

  • Performs customer service functions by responding to employee requests and questions
  • Plan and schedule group meetings and secure necessary resources, including travel, housing, and meals. Assistance with travel visas sometimes required
  • Oversee the physical maintenance and organization of the office, including the selection and supervision of appropriate vendors for cleaning and repairs, as well as special projects that arise
  • Manage and order supplies; select appropriate vendors and ensure spending is within the budget guidelines of the organization.
  • Coordinate and manage incoming and outgoing mail and shipping needs
  • Maintain office records by designing and maintaining filing systems; ensure proper transfer, retention and disposal of files/records
  • Assist accounting team with the preparation, processing and reconciliation of department payables, including invoices and developer royalty and contest payments
  • Support executives and other employees in the processing of reimbursements, including the submission of expense reports
  • Manage and order supplies; select appropriate vendors and ensure spending is within the budget guidelines of the organization
  • Coordinate and manage incoming and outgoing mail and shipping needs
  • Event planning for company functions and team building activities
  • Identify and implement ways to streamline the workflow process for current and future projects
  • Provide support for team projects and perform other administrative duties as needed

  • Conduct employment and personal reference checks; coordinate post-interview follow-up with recruiters and hiring managers

  • Now or in the future, drive outstanding business results through traditional management functions including, but not limited to, sourcing and selecting talent, coaching and development, workforce and project scheduling, performance assessment, and general talent planning
  • Assist with new hire on-boarding and set up.
  • Work closely with external IT company and manage their projects as needed

Basic and Preferred Qualifications (Education and/or Experience)

  • High School diploma or equivalent work experience required; at least two years of successful accredited college study preferred
  • At least 3 years of general administrative assistant experience required; office management experience preferred

Minimum Qualifications, Job Skills, Abilities

  • Proficient written/verbal communication and presentation skills using spoken English
  • Possess accurate typing and data entry skills
  • Proficient knowledge of Microsoft Office software programs, including Excel, PowerPoint and Word
  • Proficient knowledge of Google Suite products, including Gmail, Drive, and Calendars
  • Proficient organizational skills, with the ability to handle multiple, overlapping, and potentially conflicting priorities
  • Ability to work collaboratively; conducts working relationships in a manner acceptable to others and to the organization.
  • Ability to recognize discrepancies in written/recorded data/information; ability to respond quickly and effectively to work errors.
