responsibilities:
As the Senior Financial Operations Analyst, you will be central to managing and optimizing the flow of transactions through the business.
Procure-to-Pay (P2P) / Accounts Payable:
- Manage the full-cycle AP process, handling the processing of hundreds of monthly invoices with exceptional accuracy.
- Onboard new vendors, ensuring all required documentation (W-9s, banking information, contracts) is complete and compliant.
- Ensure purchase orders are properly coded to the correct general ledger accounts, departments, and projects.
- Proactively troubleshoot and resolve invoice discrepancies by coordinating with vendors and internal departments.
- Support the month-end close process by preparing accruals for goods and services received but not yet invoiced.
- Manage new customer setup and maintain accurate customer records.
- Generate and distribute timely and accurate invoices to customers based on contracts, sales orders, or service delivery.
- Investigate and resolve unapplied cash and payment discrepancies to maintain a clean AR aging report.
- Support audit activities related to AR, including providing documentation and analysis for AR aging.
- Analyze, develop, and help create scalable financial processes and controls, working alongside a third-party service provider.
- Identify bottlenecks and inefficiencies in both P2P and O2C workflows, recommending and helping implement process improvements and automation opportunities.
- Analyze and report on key performance indicators (KPIs) for both cycles, such as Days Sales Outstanding (DSO) and Days Payables Outstanding (DPO).
- Serve as a key point of contact for internal and external audits, providing necessary support and documentation for payables, receivables, and cash transactions.
- Play a pivotal role in the company's planned transition from QuickBooks to a Sage ERP system.
qualifications:
- 5+ years of progressive experience in an accounting or finance role with direct, hands-on responsibility for both Accounts Payable and Accounts Receivable cycles.
- Demonstrated experience in developing, implementing, and documenting financial processes and internal controls.
- Strong knowledge of P2P and O2C best practices, with specific experience in utility billing being a significant advantage.
- Proficiency with ERP systems is required. Hands-on experience with QuickBooks is essential for the initial phase, and experience with a Sage ERP system is highly beneficial.
- Exceptional problem-solving skills and the ability to investigate and resolve discrepancies independently.
- Meticulous attention to detail and the ability to manage a high volume of transactions accurately.
- Excellent communication skills, with the ability to collaborate effectively across departments.
- Ability to work a hybrid schedule with 3 days per week in our client's Phoenix office, with some flexibility.
