Responsibilities
- Manage and maintain all logistics data within the SAP system, including order processing, shipment tracking, and inventory records.
- Perform high-volume, high-accuracy data entry across all logistics and supply chain documents.
- Prepare detailed logistics reports and performance dashboards using advanced Excel functions (e.g., pivot tables, VLOOKUPs, macros, etc.).
- Insert sales orders into the CRM/SAP system immediately following the sale by the Commercial Team.
- Talk to production teams in countries of origin (South America) and logistics partners to schedule loadings and manage freight.
- Coordinate both inbound (to US) and outbound shipments (to other markets), ensuring timely deliveries.
- Track sales and shipments, monitoring vessel movements and providing real-time status updates to clients and the Commercial Director.
- Prepare and verify all critical export documentation (Commercial Invoices, Bills of Lading, Health Certificates) to ensure accuracy and compliance.
- Reconcile shipping and inventory discrepancies (volume, price, damage) and escalate issues as needed.
- Respond to customers’ emails regarding order status and documentation updates, and handle basic complaints.
- Internal contacts include the USA Commercial Team, South American Export Traders, Quality Team, and Logistics Team.
- Fluent English is mandatory. Spanish proficiency is a strong advantage.
