Responsibilities
As an Administrative Assistant, job duties include:
- Own and manage complex calendars for multiple directors, effectively prioritizing schedules and determining meeting attendance. Exercise judgment to resolve scheduling conflicts and maintain efficiency.
- Coordinate logistics for internal and external meetings including agenda creation, venue/tech setup, materials distribution, minute taking, and follow-up on action items.
- Arrange domestic and international travel, optimizing schedules and leveraging travel benefits. Prepare detailed travel briefings with logistical and event-related information.
- Serve as a communication liaison and delegate for the directors as authorized. Respond to inquiries, approve requests, and escalate issues as needed.
- Assist with special projects by compiling research, analyzing data, and preparing high-quality reports or presentations.
- 4+ years of experience in an administrative or executive assistant role supporting director level or above executives.
- Expert-level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Demonstrated strength in calendar management, travel coordination, and meeting planning.
- Meticulous attention to detail and accuracy.
- Excellent written and verbal communication skills, with the ability to interact effectively at all organizational levels.
