Responsibilities
- Review carrier invoices for accuracy: Analyze carrier invoices against contracted rates and internal records to verify service accuracy, mileage, and all charges. Ensure correct vendor and billing amounts.
- Approve and release payments for carriers: Process approved carrier invoices for timely payment, adhering to company policies and coordinating with finance for prompt disbursement.
- Coordinate with sales and operations on pricing: Collaborate with sales and operations to confirm accurate billing based on agreed-upon pricing. Resolve any discrepancies between quotes and invoices.
- Ensure timely customer invoicing and documentation: Oversee prompt generation and distribution of customer invoices, including all necessary supporting documents like bills of lading and proof of delivery.
- Quickly respond to customer billing inquiries: Serve as the main contact for all customer billing questions and concerns, providing swift and clear resolutions to maintain high satisfaction.
- Research and correct billing discrepancies: Investigate and resolve all billing discrepancies reported internally or by customers, implementing corrective actions for accurate records.
- Maintain accurate billing records: Organize and maintain comprehensive records of all billing activities for easy access and auditing.
- Identify and implement process improvements: Continuously evaluate and improve billing processes to enhance efficiency, reduce errors, and streamline the overall billing cycle.
