Responsibilities
Patient Interaction and Communication
- Greeting and checking in patients: Welcoming patients, confirming their appointments, and ensuring they complete any necessary forms.
- Scheduling appointments: Booking, rescheduling, and canceling patient appointments in person, over the phone, and online.
- Answering phones: Managing a high volume of calls, directing them to the appropriate staff, and taking detailed messages.
- Managing patient flow: Coordinating with medical staff to ensure timely patient care and managing waiting times effectively.
- Explaining policies: Clearly communicating office policies, such as cancellation fees or payment procedures, to patients.
- Handling patient records: Maintaining and updating patient files, both electronic and physical, with a focus on confidentiality and HIPAA compliance.
- Data entry: Accurately entering patient information, appointment details, and other data into the practice's software.
- Processing payments: Collecting co-payments, deductibles, and other fees at the time of service, and handling cash, credit, and check transactions.
- Verifying insurance: Confirming patient insurance eligibility and coverage before appointments.
- Managing the waiting area: Keeping the reception and waiting areas clean, organized, and welcoming.
- Handling mail and faxes: Sorting and distributing incoming mail and faxes to the correct staff members.
- Ordering supplies: Monitoring and restocking office and waiting room supplies.
