Responsibilities
- Front Desk Management: Greet and welcome visitors, clients, and staff in a professional manner; answer and direct all incoming calls.
- Security & Visitor Logs: Manage visitor sign-ins, issue badges, and maintain office security protocols.
- Administrative Support to Estimating Team:
• Monitor and manage the Estimating department’s shared email inbox.
• Review bid invitations and flag key requirements and deadlines.
• Assist in preparing bid packages: compile estimates, scope letters, subcontractor lists, and other required forms.
• Organize project documentation including blueprints, specifications, addendums, and subcontractor quotes.
• Track bid calendars and deadlines, ensuring the team is aware of upcoming submissions.
• Enter subcontractor and vendor pricing into estimating software for comparison and final proposal preparation.
• Assist with prequalification paperwork and maintain updated vendor/subcontractor information.
• Take notes during estimating and pre-construction meetings, distribute action items, and follow up on outstanding tasks. - Office Coordination: Maintain office supplies, place orders as needed, and serve as the contact for maintenance or vendors.
- Data Entry: Input pricing from quotes and cost data into company systems.
- Office Presentation: Ensure reception and common areas are clean, tidy, and welcoming.
- General Support: Field inquiries and direct questions to the appropriate team or department.
