The Role This full-time position is critical to the daily operation of our construction projects, focusing on organization, communication, and administrative support. We are looking for someone reliable who thrives in a small-office setting and works well with others.
Core Responsibilities (Job Duties):
- Communication: Serve as the primary contact, communicating professionally with clients, subcontractors, and various vendors via email and phone.
- Scheduling: Manage the General Contractor’s complex schedule and proactively coordinate all internal and external meetings (with clients and/or subcontractors).
- Procurement: Obtain necessary bids from various vendors for project services and materials. Systematically process and return approved bids to vendors.
- Logistics: Coordinate and manage the schedule and tracking of all material and equipment deliveries to job sites.
- Administrative Support: Maintain an organized administrative workflow for all project-related documentation.
- Technical Proficiency: Applicants must be proficient in using Microsoft Word, Excel, Adobe, and Outlook for scheduling, communication, and document management.
- Professionalism: Must be dependable, reliable, thorough, and maintain a high level of professionalism in all interactions.
- Collaboration: Proven ability to work effectively as part of a small team and get along well with others.
- Construction Knowledge: Knowledge of the construction industry is helpful but not strictly necessary. We are willing to train an eager candidate who wants to learn the business.

Responsibilities
- Client & Vendor Communication: Serve as the primary point of contact for clients, subcontractors, and various vendors. Manage all correspondence, including professional emails and phone calls, ensuring clear and timely communication.
- Scheduling & Coordination: Manage the General Contractor's schedule and coordinate all project-related meetings, including those with clients and subcontractors.
- Procurement Support: Actively obtain and solicit bids from multiple vendors for project services and materials. Systematically process and return all approved bids to the respective vendors to initiate services.
- Logistics Management: Coordinate and track the timely delivery of materials, equipment, and supplies to job sites, working to prevent delays and manage logistics effectively.
- Administrative Proficiency: Maintain expert-level proficiency and utilize Microsoft Word, Excel, Adobe, and Outlook daily for document creation, data management, scheduling, and official correspondence.
- Office Support: Maintain an organized and efficient administrative workflow, supporting the small office team with thorough and dependable task completion.
- Dependability: Arrive and work reliably during the established hours (Monday – Friday, 8:30 AM to 5 PM) as a professional, trustworthy, and consistent member of the team.
- Team Collaboration: Work effectively and professionally with all internal team members, promoting a positive and drama-free small-office environment.
