The Event Coordinator plays a critical role on the Store Operations team in supporting the planning and executing the annual Field & Store Leadership Meeting. This role is involved in key components of event logistics, communications, registration/mobile app, transportation, training, vendor coordination and onsite operations, ensuring a smooth and impactful experience for all attendees. In addition, this position also provides administrative support such as calendar management, presentation prep and meeting follow-up.

salary: $25 - $31 per hour

Responsibilities

Communications

• Partner with Store Ops Communications team to plan and execute event communications, gathering

essential details and drafting the initial messaging.

Awards and Recognition

• Support coordination of Awards and Recognition evening, including support on talent component.

Training Workshops

• Support the project management of the development of training workshops for event attendees, ensuring timely delivery and alignment with program objectives.

Ground Transportation

• Collaborate with internal travel teams and external partners to review transportation manifests, ensuring accuracy and providing onsite support for real-time updates and adjustments.

Vendor Partner Fair

• Support logistics and coordination of the Vendor Partner Fair, collaborating with internal cross-functional teams to ensure all sponsor details are cared for.

Onsite Registration and Staffing

• Create and implement an efficient onsite check-in process.
• Assist in the proposal and recommendation to leadership on name badges and badge talkers.

Volunteer Support

• Assist in the creation of job descriptions and training materials for event staff, supporting and participating in training sessions to clarify roles and responsibilities.
• Contribute to staff scheduling, ensuring optimal coverage and support throughout the event.

Shipping and Logistics

• Manage all aspects of event material shipping, including pre-event coordination, onsite tracking, and post-event returns to ensure timely and accurate delivery.
