Responsibilities
In this position you will be responsible for:
- Invoice Processing: Review, verify, and accurately process vendor invoices, ensuring compliance with company policies and obtaining proper approval.
- Three-Way Matching: Execute the critical function of matching invoices to purchase orders and receiving documents to validate expenses.
- Data Entry & Coding: Accurately enter and code invoices into our accounting system (experience with SAP or other ERP systems is a plus).
- Payment Execution: Prepare and process all payment types, including checks, ACH, and wire transfers, ensuring timely disbursements.
- Reconciliation & Resolution: Reconcile vendor statements monthly and proactively research and resolve any billing or payment discrepancies.
- Vendor Relations: Act as the primary point of contact for external vendor inquiries, professionally resolving payment issues promptly.
- Month-End Support: Assist with the month-end closing process by providing necessary accounts payable reports and balance sheet reconciliations.
- Audit Readiness: Support internal and external audits by efficiently retrieving and providing required documentation.
- Cross-Functional Collaboration: Partner with the purchasing and operations teams to maintain accurate records and streamline payment cycles.
