Responsibilities
Patient Experience & Hospitality
- Warmly greet patients and visitors, consistently ensuring a positive and professional first impression.
- Maintain the waiting area by keeping it clean, organized, and inviting throughout the day.
- Monitor and restock the coffee bar, ensuring it remains clean, well-supplied, and presentable.
- Ensure the television is tuned to appropriate, calming, or informative programming aligned with the practice’s atmosphere.
- Support patients with special requests, including coordinating transportation, referrals, or other concierge-level services.
- Manage patient appointments, including accurate scheduling, confirmation, and managing patient flow in coordination with the clinical staff.
- Promptly answer phone calls and emails, accurately directing inquiries.
- Maintain and update patient records, strictly upholding confidentiality in accordance with HIPAA regulations.
- Process payments and assist with detailed inquiries regarding concierge membership.
- Perform general administrative duties, including filing, data entry, and supply management.
- Maintain and update a dedicated spreadsheet of potential new patients, meticulously tracking contact details, referral sources, and the scheduling status for introductory meet-and-greet appointments.
- Proactively follow up with prospective patients to coordinate their introductions and ensure timely scheduling.
