We're looking for a highly organized and detail-oriented Customer Service Representative to serve as the primary contact for our CWP customers, operating under moderate supervision to ensure consistent quality support and customer satisfaction. This vital role involves the timely response to all customer correspondence, maintaining rapport, and managing customer account data and forecasts. You will be responsible for the full lifecycle of orders, including managing price quotations, sales orders, purchase orders, changes, and cancellations directly with customers and distributors, and collaborating with external sales on non-standard quotes to optimize pricing. Accuracy is critical as you ensure precise order entry and data in our management system, working closely with production to confirm required ship dates and coordinating with shipping to schedule and confirm transportation. You will also be tasked with compiling crucial daily and monthly management reports, such as quotes/orders summaries and forecasted sales data, preparing critical shop order paperwork to translate customer requirements, and assisting the Outside Sales Department with marketing materials and trade show coordination, all while maintaining excellent attendance and professionalism.

Responsibilities

Maintain customer account data, gather forecast information, and ensure timely, professional responses to all customer correspondence to foster excellent rapport and service.

Directly manage customer price quotations, sales orders, purchase orders, schedule changes, and cancellations with customers and distributors. Ensure accuracy in all order entry functions, collaborating closely with production to set and confirm realistic promise and required ship dates.

Work with external sales to provide data for non-standard quotes and negotiate pricing to optimize direct and negotiated sales opportunities.

Utilize the data management system for all order entry, customer information retrieval, stock status, and order status checks. Compile daily and monthly management reports, including but not limited to scheduling reports, quote/order summaries, strike rates, fabrication analysis, and sales forecasts.

Follow up on delivery inquiries, check system delivery information, and coordinate closely with shipping regarding scheduled shipments, assisting with transportation scheduling and confirmation as needed.

Prepare critical documentation (orders, quotes, correspondence) for Quality to translate customer requirements into shop order paperwork, assisting with shop order data entry when necessary.

Assist the Outside Sales Department by preparing marketing materials (literature, samples) and coordinating trade show activities.
