Key Responsibilities:
- Full-Cycle AP Management: Receive, process, and enter high-volume invoices, ensuring all invoices are coded correctly to the General Ledger (GL) and have proper documentation.
- Purchase Order (PO) & Validation: Execute the essential three-way match process (PO, receipt, invoice) and proactively resolve any price, quantity, or documentation discrepancies with purchasing and receiving departments.
- Payment & Cash Management: Prepare, review, and process weekly payment runs, including checks, ACH, and wire transfers, to ensure timely disbursements and maximize discount capture.
- Reconciliation & Close: Perform monthly vendor statement reconciliations, investigate outstanding balances, and assist with the month-end close process, including AP accruals and GL account analysis.
- Vendor Relations & Compliance: Serve as the primary contact for vendor inquiries. Maintain the Vendor Master File (W-9s), and provide key support for annual 1099 reporting and internal/external audits.
Required Qualifications:
- 2+ Years of dedicated, high-volume Accounts Payable experience.
- Proven proficiency in the three-way match process and General Ledger coding principles.
- strong working knowledge of an Enterprise Resource Planning (ERP) system (e.g., SAP, Oracle, NetSuite, etc.) is highly preferred.
- Expert-level attention to detail and strong organizational skills to manage deadlines in a fast-paced environment.
- Proficiency in Microsoft Excel (VLOOKUPs, Pivot Tables).
- Excellent written and verbal communication skills for effective vendor and internal stakeholder collaboration.
