- Experience: A minimum of 5 years of progressively responsible administrative experience supporting a senior executive, preferably in a legal office, higher education, or similarly complex regulatory environment.
- Education: Bachelor's degree strongly preferred. Relevant paralegal or legal secretarial certification is a plus.
- Discretion & Professionalism: Proven ability to handle highly confidential and sensitive information with impeccable judgment and discretion.
- Organizational Skills: Exceptional organizational, time management, and multi-tasking abilities with an acute attention to detail and accuracy.
- Technical Proficiency: Expert-level proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with calendar/scheduling software.
- Communication: Excellent written and verbal communication skills, including the ability to compose professional correspondence independently.

Responsibilities
- Executive Support: Managing a complex and constantly changing calendar, scheduling meetings with internal stakeholders (e.g., President's Office, Board of Trustees, Deans) and external parties, and managing all travel arrangements and expense reporting.
- Communication Hub: Serving as the primary point of contact and liaison for internal and external communications, screening and prioritizing phone calls, emails, and correspondence for the General Counsel. Drafting, proofreading, and editing highly sensitive documents, memos, and presentations.
- Document and Case Management: Organizing and maintaining highly confidential legal files, documents, and records, ensuring easy retrieval and compliance with internal protocols. Assisting with tracking legal matters, deadlines, and litigation support logistics.
- Board and Committee Support: Preparing, distributing, and tracking materials for the Board of Trustees, legal committees, and other high-level meetings. Attending meetings, taking minutes, and ensuring follow-up on action items.
- Office Administration: Coordinating office supplies, processing invoices, and assisting with the department's budget monitoring.
